JOB OVERVIEW

About the Role

We are a U.S.-based healthcare services company looking for a hands-on Controller to own our accounting close and financial reporting, bring our books to a state we can rely on, and lead a small, capable remote finance and operations team.

Today, most of our day-to-day operations run through an interconnected set of Google Sheets, while financial transactions are recorded in QuickBooks Online. We want a controller who can make QuickBooks the source of truth for financial reporting—producing an accurate P&L and balance sheet every month—while keeping our Google Sheets running smoothly as operational tools.

This is a role for someone who is both a strong accountant and a capable manager: comfortable making categorization and accounting judgment calls independently, and equally comfortable directing, reviewing, and developing a team.


Key Responsibilities

Accounting & Monthly Close


Own the monthly close and produce timely, accurate financial statements (P&L and balance sheet) in QuickBooks Online.
Establish and maintain QuickBooks as the company's financial source of truth, with Google Sheets used operationally.
Maintain the chart of accounts, class structure, and cost-of-goods-sold framework; make and document categorization decisions independently rather than escalating routine ones.
Prepare and post journal entries, including payroll allocations and owner draws/distributions.
Reconcile all funding channels: bank deposits, merchant processors, financing partners, ACH, and checks.


Cash Flow & Payroll


Prepare the weekly cash-flow forecast every Wednesday by 8:00 AM, covering transacted-but-undeposited revenue across all channels and upcoming obligations (payroll, vendors, financing).
Prepare and review weekly payroll for submission to our payroll processor. Final sign-off remains with ownership; you ensure it is accurate and ready.
Track commissions, bonuses, reserves, deferrals, and clawbacks accurately and transparently.


Expense Management & Internal Controls


Review corporate card activity against receipts and policy; flag personal or unapproved charges and manage clawbacks.
Build and enforce expense and card-usage policies, including documentation and approval standards.
Track refunds and chargebacks; put controls in place to prevent duplicate or erroneous refunds.
Oversee accounts receivable and collections, including payment follow-ups and tracking of uncollected sales.


Systems & Data Integrity


Maintain and safeguard our Google Sheets architecture (rep workbooks, master sales sheet, weekly P&L/payroll, cash-flow analysis, bonus and scoring trackers), including formula integrity, cross-sheet links, and range protection.
Standardize recurring processes and document clear SOPs.
Help evaluate and, where feasible, support a future migration of recordkeeping toward more integrated tooling or a CRM.


Team Leadership


Manage, direct, and develop a three-person remote finance/operations team.
Assign and prioritize work, review deliverables for accuracy and completeness, and ensure deadlines are met.
Establish and monitor productivity and time-tracking standards; hold the team accountable for both hours worked and output delivered.
Serve as the first point of resolution for day-to-day questions, reducing escalations to ownership.


Reporting & Stakeholders


Produce financial reports for ownership and, when needed, for prospective partners or lenders.
Communicate proactively and clearly in writing, primarily via Slack and email.



What Success Looks Like (First 90 Days)


QuickBooks cleaned up to the point of producing an accurate P&L and balance sheet.
Reliable weekly cash-flow forecast and payroll, with minimal ownership involvement in routine categorization.
A documented categorization ruleset and a basic internal-controls/expense-policy framework.
A clear, accurate handle on team workload, output quality, and hours.



Required Qualifications


5+ years of progressive accounting/bookkeeping experience, including ownership of a monthly close.
Advanced QuickBooks Online skills (chart of accounts, classes, journal entries, COGS).
Strong Google Sheets ability: complex formulas (e.g., QUERY, IMPORTRANGE, ARRAYFORMULA) and the ability to debug and maintain a system of linked workbooks.
Demonstrated experience managing a team (remote experience preferred).
Excellent written English and a schedule with significant overlap with U.S. business hours.
High integrity, strong attention to detail, and a proactive, ownership mindset.


Preferred (Nice to Have)


CPA (Philippine CPA) or equivalent credential.
U.S. GAAP familiarity (accrual accounting, contra-revenue, COGS treatment).
Experience with payroll processors (e.g., ADP), AP/AR and ACH platforms (e.g., ---------- ), corporate card platforms (e.g., Divvy, Amex), and merchant/financing processors.
Experience evaluating or implementing a CRM (e.g., GoHighLevel).
