JOB OVERVIEW

The Finance Virtual Assistant will handle day-to-day financial and accounting tasks, helping ensure accurate records, timely invoicing, smooth payroll coordination, and clear job cost tracking. This role works closely with company leadership, project managers, and external accountants.

Key Responsibilities

Finance virtual assistants manage a range of duties, including bookkeeping, invoicing, and reconciliations. Common tasks involve processing accounts payable and receivable, tracking expenses, preparing financial reports, and handling client communications like emails and calls. They also support budgeting, data entry, research on industry trends, and month-end closes while ensuring compliance with basic financial standards.

-Bookkeeping & Accounting
-Record and categorize financial transactions
-Maintain accurate general ledger entries
-Reconcile bank and credit card statements
-Track expenses, equipment, and operating costs
-Accounts Payable
-Process vendor and subcontractor invoices
-Schedule and track payments
-Maintain vendor records and W-9 documentation
-Accounts Receivable & Invoicing
-Prepare and send customer invoices (progress billing, retainage, final invoices)
-Track outstanding invoices and follow up on collections
-Maintain AR aging reports
-Payroll & Labor Cost Tracking
-Collect and verify employee and crew timesheets
-Assist with payroll processing
-Track labor costs by job or project
-Support certified payroll or prevailing wage reporting (if required)
-Job Costing & Reporting
-Track costs by project (labor, materials, equipment, subcontractors)
-Assist with job cost vs. estimate reports
-Prepare weekly and monthly financial reports (P&L, cash flow, job cost reports)
-Compliance & Organization
-Maintain organized digital financial records
-Support sales tax tracking
-Prepare documentation for CPA or tax professionals

Required Qualifications
2+ years experience in bookkeeping, accounting, or finance support
Experience supporting U.S.-based businesses

Strong knowledge of:
-Accounts Payable & Accounts Receivable
-Job costing (construction or landscaping preferred)
-Proficiency in QuickBooks Online or Desktop
-Strong Excel or Google Sheets skills
-High attention to detail and accuracy
-Reliable internet and secure remote workspace
