This is a long-term role with real ownership and a clear path to full-time. We want a partner, not a task-taker.
The Role
You will be the right hand to our Founder. Your job is to protect his time, keep things organized, and make sure nothing falls through the cracks. You will manage his inbox and calendar, keep our operating system current, support our CRM and pipeline data, and turn rough drafts into polished documents and decks.
You will start part-time. If you prove reliable over 60 to 90 days, you move to full-time with a raise and broader responsibility.
What You Will Own
Inbox and calendar
• Triage the Founder's
• Manage and protect the calendar. Schedule meetings, send invites, resolve conflicts, send reminders.
• Coordinate internal and external meetings across US time zones.
• Chase down follow-ups and make sure commitments get closed.
EOS and
• Keep our
• Prepare for weekly Level 10 meetings: build the agenda, update metrics, and circulate notes.
• Capture action items during or after meetings and track them to completion.
• Send reminders so the team stays on top of their commitments. (We will train you on EOS. You do not need prior EOS experience, but you must be willing to learn it.)
CRM and pipeline support
• Keep our CRM (HubSpot or Salesforce) clean and up to date.
• Enter contacts, log activity, update deal stages, and fix data quality issues.
• Pull simple pipeline and activity reports on a weekly cadence.
• Light prospect and account research as requested.
Documents and decks
• Format and polish proposals, capability statements, and contracts.
• Build and clean up PowerPoint decks and one-pagers.
• Prepare meeting documents, agendas, and summaries.
• Support light LinkedIn and marketing tasks (scheduling posts, formatting content).
Who You Are
• 3+ years as an executive assistant, virtual assistant, or operations support for US-based clients or executives.
• Excellent written English. You can draft an
• Clear spoken English, comfortable on video calls.
• Highly organized. You track many moving pieces and never let things slip.
• Proactive. You spot what needs doing and do it without being told twice.
• Comfortable with Microsoft 365, Google Workspace, Zoom or Teams, and at least one CRM.
• Reliable internet and a quiet, professional work setup.
• Able to work a minimum 5-6 hour daily overlap with US Central Time. This is required.
Nice to Have (not required)
• Experience with EOS,
• Zoho or Salesforce admin experience.
• Strong PowerPoint and document design skills.
• Experience supporting a small US business or consulting firm.
