About the Role
We are seeking a proactive and reliable Executive Virtual Assistant to provide high-level support across professional, business, and personal responsibilities. This role is suited for someone who enjoys variety, thrives in a fast-paced environment, and can confidently handle both structured administrative tasks and relationship-focused outreach.
You will play a critical role in helping to manage daily priorities, coordinate projects, drive business development efforts, and ensure smooth organisation across multiple areas of responsibility.
This is a part-time opportunity (20–25 hours per week) with the potential to transition into a full-time role for the right candidate.
Key Responsibilities
RTO / Education Administration (~55%)
- Assessment Mapping: Maintain and update mapping documents to ensure alignment of unit requirements with assessment tools and delivery plans.
- Validation Support: Prepare and coordinate validation sessions, record outcomes, update assessment tools/resources, and maintain accurate records of changes.
- Document Control: Implement approved changes to learning and assessment materials, apply version control, and keep documentation audit-ready.
- Resource Editing: Format, proofread, and edit learning and assessment resources for clarity, accuracy, accessibility, and compliance.
- Administration & Coordination: Manage
(Note: This is a support role only. The qualified manager will review and make all final decisions regarding compliance and assessment.)
Business Development Support (~25%)
- Research and build a referral pipeline of allied health (physiotherapists, OTs, recovery clinics) and related stakeholders.
- Conduct professional outreach
- Send follow-ups, confirm appointments, prep briefing notes, and maintain a weekly BD report (leads created, meetings set, conversions/progress).
- Assist with light marketing ops (templated outreach messages, basic collateral updates).
Personal & Networking Support (~20%)
- Manage professional networking outreach and track key contacts.
- Schedule meetings with partners, mentors, and industry contacts.
- Research and book hotels, flights, and personal arrangements.
- Maintain an integrated calendar balancing business and personal commitments.
- Send reminders and follow-ups to ensure priorities are met.
Selection Criteria (What You Must Bring)
Essential
- Experience in maintaining assessment mapping documents to ensure unit requirements are clearly linked to assessment tools and delivery plans.
- Ability to coordinate validation activities, record outcomes, and update documents and registers as required.
- Skilled in document control, including applying approved changes, version management, and keeping records audit-ready.
- High-level proficiency in Microsoft Word (formatting, styles, tracked changes), PDF editing, and solid skills in Excel/Google Sheets for maintaining registers and trackers.
- Strong attention to detail, with proven ability to proofread and edit resources for clarity and compliance.
- Organised and reliable, with the ability to manage
Desirable (Not Essential)
- Previous experience supporting education, training, or service-based businesses.
- Strong research skills for outreach, lead generation, and scheduling.
- Familiarity with Google Workspace, Microsoft Office, and online collaboration tools (Slack, Trello, Asana, or similar).
- Experience with LinkedIn outreach or managing professional networking tasks.
- Comfortable preparing and maintaining spreadsheets, trackers, and reports.
- Prior work in administrative or executive assistant roles for international clients.
