Executive Virtual Assistant — CEO Support (Outdoor Hospitality & Family Entertainment)
Job Type: Part-Time, Long-Term (20–30 hrs/week)
Schedule: Flexible, but must have daily availability Mon–Fri during US Eastern time
Communication: Microsoft Teams
About Us
We own and operate outdoor hospitality properties and family entertainment centers — including RV resorts — across Indiana, Florida, and Missouri. We're a growing, fast-moving company and our CEO needs a sharp, reliable right hand to help manage the day-to-day flow of communication, tasks, and priorities.
About the Role
You'll work directly and closely with the CEO. Think of yourself less as a task-doer and more as a filter, organizer, and executor — someone who keeps things from falling through the cracks so the CEO can stay focused on high-level decisions.
This role will grow with you. We're looking for someone proactive who spots problems before being asked and suggests better ways to work.
What You'll Do
Email
- Monitor and organize the CEO's inbox daily
- Draft responses, flag urgent items, and archive noise
- Keep inbox at zero or close to it
Calendar Management
- Schedule, confirm, and reschedule meetings
- Protect focus time; manage conflicts proactively
- Send reminders and prep notes before key calls
Task & Project Coordination
- Maintain a running task list and follow up on open items
- Track deadlines and keep the CEO informed on what's pending
- Help break big goals into actionable next steps
Communication Filtering
- Act as the first point of contact for routine requests
- Route messages to the right person or handle them directly when possible
- Summarize long threads, documents, or reports into key points
General Executive Support
- Research vendors, contacts, or topics as needed
- Help draft internal communications, memos, or follow-ups
- Take on ad-hoc tasks as business needs arise
What We're Looking For
-Excellent written English — you'll be communicating on behalf of the CEO
-Highly organized — you thrive on structure and don't let things slip
-Proactive communicator — you update, flag, and ask before things become problems
-Trustworthy and discreet — you'll have access to sensitive business info
-Tech comfortable — quick learner with Microsoft 365 tools (Outlook, Teams, Calendar, OneDrive) and task managers
- Experience supporting a business owner or executive preferred
- Hospitality, tourism, or operations industry experience is a plus but not required
How to Apply
Please apply with:
1. A short intro (3–5 sentences) about your experience supporting executives or business owners
2. Your availability and time zone
3. One example of a time you helped someone stay organized or caught something before it became a problem
We're looking for someone to grow with us long-term. If you're reliable, sharp, and genuinely enjoy making someone else's work life run better — we want to hear from you.
