We are seeking a sharp, proactive, and spiritually grounded Executive Assistant to support a high-profile vocal coach and celebrity mentor at Legend Vocal Academy (LVA). This is a unique opportunity to work behind the scenes with an influential leader in the music and entertainment world, helping manage daily operations, scheduling, media engagements, and special projects.
You will be the right hand to a VVIP client, ensuring that every task is handled with precision, professionalism, and heart.
Key Responsibilities
A.
Monitor and manage the executive’s inbox daily—prioritizing urgent
Handle correspondence related to students, press, bookings, and business partners with discretion.
Maintain the highest level of confidentiality and professional judgment.
B. Calendar & Scheduling Management
Manage the executive’s schedule including coaching sessions, rehearsals, media events, and internal team calls.
Send well-detailed calendar invites (Zoom links, time zones, contact info, agendas, etc.).
Carefully vet all meeting requests before confirming to protect time and align with LVA’s mission.
C. Guest & Partner Vetting
Pre-screen all booking and meeting requests:
Verify name, organization, and purpose.
Conduct basic credibility checks.
Flag unfamiliar or sensitive requests for review before scheduling.
D. Media & Public Engagement Support
Coordinate logistics for interviews, livestreams, and public appearances.
Liaise with glam teams, stylists, and media producers as needed.
Ensure all public engagements align with the executive’s personal values and LVA’s branding.
E. Project & Launch Support
Assist with the rollout of new programs, vocal intensives, online courses, and partnerships.
Coordinate timelines, deliverables, and collaborator communication.
Track progress and follow through on all commitments tied to special projects.
F. Travel & Logistics
Book and manage travel accommodations, creating professional, easy-to-follow itineraries.
Monitor real-time travel updates and adjust logistics as needed.
Maintain an organized system for travel documents and event credentials.
What You Bring
A heart for service and discretion when working with high-profile individuals.
Experience supporting senior leaders or public figures (music, ministry, or media preferred).
Exceptional communication and time management skills.
Mastery of Gmail, Google Calendar, Zoom, and digital project tools.
Professional demeanor, high integrity, and ability to think three steps ahead.
Availability for occasional after-hours support and real-time problem-solving.
