JOB OVERVIEW

I run multiple fast-growing businesses in the automotive, rental, detailing, repair, media, and education space. I’m looking for a high-performance Executive Assistant / Operator to work directly with me.

This is not a basic VA role.

This role is for someone who wants to become my right hand and help bring structure, organization, follow-through, and execution into a fast-moving business environment.

I move fast, create ideas quickly, and manage multiple companies. Your job is to help turn that vision into organized action, clear priorities, completed tasks, and consistent follow-up.

You will help me stay focused on sales, leadership, content, growth, and high-level decisions while you help manage the systems, communication, task tracking, and execution behind the scenes.

What You Will Own:
1. Calendar, Time & Priority Management
You will help manage my schedule, calendar, priorities, and daily focus.
Responsibilities include:
- Managing and organizing my calendar & inbox
- Helping me start each day with clear priorities
- Helping me end each day with a recap of what was completed and what still needs attention
- Making sure important tasks, meetings, and deadlines do not get missed
- Helping protect my time from low-value distractions

2. Communication & Follow-Up
You will help make sure messages, emails, and follow-ups do not fall through the cracks.
Responsibilities include:
- Organizing emails, messages, and follow-ups
- Drafting professional messages when needed
- Following up with tea ---------- mbers, vendors, contractors, and partners
- Making sure open loops get closed
- Keeping me updated without overwhelming me
- Helping with overflow calls for businesses

3. Operations, Systems & Organization
You will help turn messy ideas, notes, and conversations into clear systems.
Responsibilities include:
- Turning ideas into SOPs, checklists, trackers, and workflows
- Organizing tasks inside ClickUp, Notion, Google Docs, Google Sheets, or similar tools
- Keeping projects moving forward
- Creating structure when things feel messy
- Helping improve the way the business operates

4. Team Coordination & Accountability
You will help make sure the team follows through.
Responsibilities include:
- Assigning tasks clearly
- Following up with tea ---------- mbers
- Tracking progress
- Asking for updates
- Catching delays early
- Helping make sure projects actually get completed
You must be comfortable holding people accountable in a professional way.

5. Light Content & Personal Brand Support
I also create content around business, automotive, entrepreneurship, and personal growth.
Responsibilities may include:
- Turning my voice notes or rough ideas into captions, outlines, or content notes
- Organizing content ideas
- Managing posting schedules
- Coordinating with editors or content tea ---------- mbers
- Tracking deadlines for videos, posts, and creative projects

6. Admin & Personal Support
You may also help with basic admin tasks such as:
- Appointments
- Reservations
Renewals
- Research
- Simple expense organization
- Vendor comparisons
- Document organization
- Travel or scheduling support

The Results You Must Produce
You will be successful in this role if:
- I always know what matters most
- Tasks are organized and tracked
- Important follow-ups are not forgotten

- Projects keep moving forward
- My calendar is clear and intentional

Required Experience
You must have:
- 2+ years supporting a founder, CEO, entrepreneur, or executive
- Strong written English
- Strong organization skills
- Experience with Google Workspace
- Experience managing tasks, deadlines, and follow-ups
- Experience creating SOPs, checklists, workflows, or trackers
- Ability to think independently
- Ability to communicate clearly
- Ability to manage multiple moving pieces without falling apart
- Experience with ClickUp, Notion, Slack, Loom, Canva, ChatGPT, or social media tools is a plus.

This role is best for someone who wants to grow into a true operator, not someone who only wants to complete basic admin tasks.

Compensation & Schedule
- This is a full-time role.
- 40 hours per week minimum
- Must overlap with U.S. Eastern Time
