JOB OVERVIEW

Overview

I’m a founder and educator running a growing online education business.
My work requires creativity, speed, and depth — your role is to provide structure, clarity, and ---------- ntum.

I’m looking for a highly capable Executive Assistant / Operations Partner who can help manage systems, projects, and communication so the business runs smoothly and consistently.

This is not a basic task-following role.
This is a thinking partner role.

What You’ll Be Responsible For

Executive & Administrative Support

Managing calendar, scheduling, and reminders

Following up on open loops and unfinished tasks

Keeping priorities visible and organized

Supporting light documentation and admin workflows

Project & Operations Management

Tracking projects, deadlines, and deliverables

Breaking down big ideas into clear next steps

Helping identify what needs attention before it becomes a problem

Creating and maintaining simple systems (SOPs, checklists)

Platforms & Tools
You do not need to know everything already. You do need to be good at learning.

Tools include:

Circle (community + course platform)

Zoom (sessions, recordings, links)

CRM tools (organizing contacts, participants, follow-ups)

Web tools (Squarespace or similar)

Google Workspace, Notion, Airtable, etc.

Client & Community Support

Responding to participant questions clearly and professionally

Supporting onboarding and communication flows

Helping people feel informed, supported, and respected

Who This Role Is For

This role is a strong fit if you:

Are a self-starter who takes initiative

Think in systems, not just individual tasks

Communicate clearly and calmly

Are comfortable offering structure and direction when needed

Enjoy organizing complexity into clean workflows

Learn new tools quickly and independently

Are reliable, grounded, and detail-oriented

You will do especially well if you:

Have supported founders, coaches, or creatives before

Enjoy bringing focus and order to fast-moving environments

Can respectfully say, “Here’s what needs to happen next”

What Matters Most to Me

Judgment and follow-through

Clear communication

Reliability and consistency

Willingness to learn and improve

Perfect experience with every tool is not required.
Good thinking, ownership, and adaptability are required.

How to Apply

Please include:

A short explanation of why this role fits you

One example of how you helped organize, manage, or support someone else’s work

Complete this sentence honestly:
“If I were supporting someone who gets distracted easily, I would help them by…”

Thoughtful, concise answers are appreciated.

Final Note

This role works best for someone who enjoys being the steady operational backbone behind meaningful creative work.

If you prefer constant instruction or narrowly defined tasks, this will not be a good fit.
If you enjoy responsibility, clarity, and partnership, it likely will.

Finally, if this ends up being a great fit, there is a strong chance we'll eventually need a full-time role in this, and will bump pay accordingly.
