Executive Assistant & Operations Coordinator

Part-Time | Remote | Growth Opportunity

I am looking for a highly organised, proactive Executive Assistant & Operations Coordinator to become a key part of a growing business portfolio.

This role will support a founder across multiple ventures, with a primary focus on business growth, content operations, administration, client support, and day-to-day business management.

This is not a traditional Virtual Assistant role.

I am looking for someone who enjoys taking ownership, solving problems, creating structure, and helping a fast-moving business operate efficiently behind the scenes.

Responsibilities

Content & Social Media Support

* Format content using Canva
* Create carousel graphics and visual assets
* Repurpose content across multiple platforms
* Schedule and publish content
* Upload captions, hashtags and links
* Maintain content calendars
* Organise content folders and assets
* Assist with basic video editing and content preparation
* Ensure content is published consistently and on schedule

Executive Assistant Support

* Inbox management
* Draft and respond to emails
* Calendar management
* Meeting scheduling and coordination
* Organise digital files and documents
* Follow up on actions and outstanding tasks
* Conduct online research
* Prepare meeting notes and action summaries

Operations & Administration

* Maintain business systems and trackers
* Update spreadsheets and databases
* Assist with client onboarding
* Support CRM management
* Create and update SOPs and process documents
* Help improve systems and workflows
* Coordinate projects and priorities

General Business Support

* Liaise with suppliers and service providers
* Assist with ad-hoc administration
* Manage recurring operational tasks
* Help keep projects moving forward
* Provide support wherever needed to improve efficiency and organisation

Hours

Initially 15–20 hours per week with the opportunity to increase hours and responsibilities as the business grows.


You will play a key role in ensuring content is delivered consistently, administration is managed effectively, systems remain organised, and day-to-day operations run smoothly.
