JOB OVERVIEW

We are a growing U.S.-based financial services company seeking a highly organized, professional, and detail-oriented Executive Assistant to support daily operations, client communications, CRM management, and administrative functions.

This is an excellent opportunity for someone with strong English communication skills who is comfortable speaking with business owners and handling computer-based administrative work.

Key Responsibilities

Administrative Support

Manage calendars, appointments, and follow-ups
Organize emails and business communications
Assist with day-to-day operational tasks
Maintain accurate records and documentation

CRM & Data Management

Enter and update customer information in CRM systems
Review records for accuracy and completeness
Track leads, opportunities, and client activity
Generate reports and maintain organized databases

Client Outreach & Phone Communication

Call prospective clients and existing customers
Follow up on inquiries and appointments
Gather basic information from business owners
Maintain professional and courteous communication at all times

Data Entry & Research

Enter data accurately and efficiently
Perform internet research when needed
Update spreadsheets and company records
Verify information and identify discrepancies

Required Qualifications

English Communication

Exceptional spoken and written English
Neutral accent with clear pronunciation
Ability to communicate confidently with U.S.-based business owners
Professional phone etiquette

Technical Skills

Comfortable using computers daily
Experience with CRM systems preferred
Proficiency with:
Microsoft Office
Google Workspace
Excel / Google Sheets

Email
management tools

Professional Skills

Excellent organizational skills

Preferred Qualifications

Previous Executive Assistant experience
Virtual Assistant experience
Customer service experience
Sales support or appointment setting experience
CRM experience (Zoho CRM preferred)
Financial services experience is a plus
