The Digital Operations & Creative Media Virtual Assistant plays a vital role in supporting the digital infrastructure, brand visibility, and operational efficiency of Dr. Shelley Speaks, Dr. Shelley Writes, Leadership Legacy Consulting, and Family Legacy 5. This position blends creative media production, digital systems management, and client/community support, ensuring that Dr. Shelley’s message reaches audiences through polished, high-impact, and on-brand content.
This role supports the Business Director and CEO by executing end-to-end media creation, organizing backend operations, maintaining content systems, and elevating visibility through consistent digital engagement. The assistant will use AI tools, video/audio editing software, graphic design platforms, and CRM systems to streamline operations and produce professional marketing assets.
Primary Duties & Responsibilities
1. Digital Media Production & Creative Content
Edit and produce videos, podcasts, sizzle reels, trailers, ads, and short-form clips for all brands.
Create branded graphics, headers, thumbnails, social post designs, and promotional materials.
Use AI software to accelerate editing, enhance visuals, generate transcripts, and automate workflows.
Manage and improve the quality of video and audio recordings for courses, keynotes, podcast episodes, and digital products.
Ensure all creative assets align with current brand kits, color palettes, and minimalist design guidelines.
2. Digital Operations & Content Systems
Publish approved content across designated social platforms, communities, and CRM channels.
Transcribe, summarize, and repurpose livestreams, webinars, speeches, and recordings.
Structure and maintain Google Drive folders, media libraries, documents, SOPs, and archives.
Support and update CRM landing pages, funnels, forms, automations, dashboards, and QR codes.
Monitor, track, and maintain subscriptions for business tech tools and platforms.
Develop and update standard operating procedures (SOPs) for content, admin systems, and creative workflows.
Optimize backend processes using AI tools to increase speed, accuracy, and consistency.
3. Client & Community Support
Respond promptly to customer and community member inquiries, including access issues and requests.
Manage and respond to messages through social media, CRM apps,
Track and report community growth, engagement metrics, and membership insights.
Gather, organize, and track testimonials, reviews, and community feedback for visibility campaigns.
4. Event, Course, & Business Engagement Support
Maintain and update the Conference & Events Worksheet for organizational planning.
Assist with event logistics, creating and providing flyers, documents, and materials as needed.
Support posting and updating properties for Airbnb/rental listings when required.
Provide support for retreats, masterclasses, book studies, and course delivery.
Prepare event-related media assets, including highlight reels, intro videos, digital workbooks, and recap clips.
5. Business Development & Visibility Support
Conduct podcast research and outreach preparation for interviews and guest appearances.
Assist in researching audience opportunities, media placements, and social reach strategies.
Track audience impressions, ad performance, and content growth analytics.
Produce branded media that elevates visibility (e.g., book promos, author content, keynote reels).

Core Skills Needed
1. Advanced Digital Media Editing & Design
Strong proficiency in video editing, audio editing, and graphic design tools.
Ability to create cinematic sizzle reels, trailers, and branded assets.
Understanding of storytelling, pacing, brand voice, and visual hierarchy.
2. Digital Systems Management (CRM, Drives, AI Tools)
Experienced in Go High Level, funnel building, automation setup, and user access.
Skilled in organizing Google Drive, shared drives, assets, and SOPs.
Proficient at learning and deploying AI tools for productivity and content creation.
3. Customer Support & Communication
Professional written and verbal communication across platforms.
Ability to handle client issues, manage messages, and support communities.
Skilled in tracking engagement, gathering testimonials, and documenting insights.
Beginner level (Ave Low): approximately $390.00 - $480.00 per month (?22,300 - ?27,300 per month)
Intermediate level (Mean): approximately $520.00 - $640.00 per month (?29,800 - ?36,400 per month)
