JOB OVERVIEW

We run an email outreach and appointment-setting operation for a US coaching company.

We need a precise, reliable inbox and CRM manager to monitor replies and move leads through our process during US business hours. This is not a creative or strategy role - it is an execution role for someone who follows a defined process exactly, responds fast, and never lets things slip.

What you'll do:

- Monitor our email outreach inbox (Instantly) and CRM conversations (GoHighLevel) during your shift
- Read incoming replies and act on each one according to our exact written process
- Book appointments on the correct calendar when a lead confirms a time and provides their number
- Keep our tracking sheet updated accurately
- Escalate anything non-standard (questions, objections, unusual replies) to me instead of guessing

The workload itself is light - you are reacting to notifications, not doing constant busywork. What matters is that you are online, alert, and fast to respond the entire window.

Hours (non-negotiable):

- 9:00 AM – 6:00 PM US Eastern Time (ET), Monday–Friday
- You must be online and responsive within 30 minutes during these hours
- Able to work these hours consistently. If you'll be unavailable for specific hours or days, that's fine - but you must let me know at least 48 hours in advance. What I won't accept is last-minute no-shows or going quiet during your shift.

A reply that sits unanswered can cost us a booked call, so responsiveness is the single most important part of this role

Hard requirements (do not apply if you don't meet these):

- Proven hands-on experience with Instantly
- Proven hands-on experience with GoHighLevel (GHL)
- Excellent written English
- Reliable, fast internet and a backup plan for outages
