We are seeking a virtual assistant with excellent written and oral communication skills. This person will need to organize and supervise all administrative activities, which facilitate the smooth running of the business. They will be expected to carry out a range of administrative, procurement, IT-related and administrative tasks. Ultimately, this candidate would be responsible for ensuring the virtual office runs efficiently. This is an autonomous role for a self-starter, but a plus to have some interior design knowledge. Assistant Responsibilities:
The following is intended to describe the general nature, and level of work. Other duties may be involved.
- Manage DIRECTOR’s email
- Check and sort virtual mailbox
- Monitor and order office supplies (business cards, stationery, ink cartridges)
- Research, establish and maintain relationships with vendors (florists, caterers, insurance carriers, etc.)
- Schedule vendor presentations
- Research, procure and maintain business software
- Manage office calendar and Creative Director appointments
- Manage Google Drive and file docs in correct areas
- Organize and maintain a detailed list of contacts, cross-referencing excel, and - design software
- Interfacing with all contacts (including on the phone, and over email) in an polished, professional, and discreet manner

You will be contributing as needed to all stages of design development working closely with our team to complete various project deliverables. You will have a level of energy, and curiosity that is second to none, and possess the skills that allows one to be two-steps ahead at all times. Full Service Design:
- Assist designers with the execution of project goals through all design phases
- Create new accounts including collecting and delivering samples from vendors
- Assist the project team with maintaining library
- Assist project team with building spec sheets
- Assist project team with entering data in program software
- Assist project team with discovery call and consultations
- Manage booking schedules
- Assist with sourcing fabrics, and building boards
- Assist with drawing packages on AutoCAD to include: partition plans, furniture layout, reflected ceiling plans, electrical plans, finish plans, wall elevations, custom millwork detail, and section drawings
- Assist to prepare concept packages, conceptual mood boards, sketches, and color 2D & 3D rendering, and visuals for client presentations
- Organize and prepare for presentation meeting including printing of drawing files, documents, and reference image files
- Maintain up to date contacts and knowledge of local and international vendors, pricing, ordering, and tracking product/materials as needed
- Assist in conducting research, and gathering information on design trends, new materials, and products that will be of interest to the firm
- Assist in coordinating, and scheduling with vendors, contractors, and suppliers
- Manage principal schedule, weekly meetings, daily emails, studios social accounts, and marketing leads that come in daily
- Utilize project management software, oversee admin task, and meeting tasks
- Asist to prepare invoices, time billing process, project expenses, budgets, and purchase orders
- Assist with scheduled, and timelines
- Source décor products from vendors, and supplies
- Communicate project process, and deadlines with subcontractors, and tradespeople as needed for the projects
- Track product inventory ensure materials, and goods are available when needed
- Assist with the design team, manage inspiration images, and sourcing files, and create both digital and physical mood boards
- Coordinate the ordering, storage, delivery, and installation of products
Other Required Responsibilities: 
* As a designer assistant you will play a crucial role in ensuring the smooth interval operation of our design studio while assisting with décor related sourcing, documentation, tracking, and also with our online store. As our designer assistant you will be contributing to all stages of the design development, helping to assist "As Needed" with 2d/3d Renderings, working draw sketch packages, and working closely with the team to complete various deliverables. 


Position Requirements:
- Minimum of 2 years experience supporting executives
- 1 yrs. Experience (preferred not required)
- Bachelor’s Degree, Interior Design Degree, or currently enrolled in Interior Design school
- Ability to focus on multiple projects in various stages of development
- Ability to work autonomously
- Experience communicating with external vendors and trades
- Experience calendar management
- Experience email inbox management
- Reliable computer and WiFi to utilize our web based systems
- Have a strong passion for design (preferred not required)
- Enthusiastic team player
- Flexible with hours
- Prior experience, or relevant coursework in residential interior design is (preferred not required)
- Proficient in CAD/Revit, Sketchup, Indesign, and Studio Designer
- Proficient in various software programs such as Microsoft, google docs, asana, notion, honey book, and canva
- Have great time management, reliable, and dependable
- Ability to meet project deadlines
- Work in collaboration with the design team
- Ability to work both independently, and collaboratively in a team environment
- Outstanding and effective communication, and interpersonal skills
- Strong attention to detail, and organizational skills

Studio Responsibilities: 
Assist in conducting research and gathering information on design trends, materials, and products that will be of an interest to the studio. Maintain the design sample library and organize the samples ensuring that all materials are current and up to date. Assist in preparing design presentations, consult Appts, and finish samples for design presentation. Sourcing images, design files, and creating mood boards.

Strong verbal and written communication skills, demonstrating the ability to draft clear, and concise correspondence. Ability to multitask. Polished and professional demeanor.
