We have 5-6 years’ worth of client invoices that need to be reviewed and reconciled against our pricing sheets. We invoice weekly and have accumulated a large dataset (approx. 1M+ rows of shipment data across 5 years). Our goal is to ensure all pricing changes were applied correctly each year and to identify any underbilling.
PROJECT SCOPE
-Data consolidation: Standardize 5 years of weekly invoice data into a structured dataset.
-Comparison & validation: Align invoice data with the correct year’s pricing sheet to flag underbilled shipments.
-Raw data retrieval: Access historical ShipWorks server backups to extract shipment records.
-Gap analysis: Reconcile ShipWorks data with invoiced amounts and ensure smooth transition validation into ShipHero records.
-Loss quantification: Calculate the total underbilling/unbilled shipments by year, invoice, and system (ShipWorks vs. ShipHero).
-Final reporting: Deliver clear reports (Google Sheets) for management review, summarizing underbilling amounts ready for invoicing.
REQUIREMENTS
-Strong experience in data analysis, reconciliation, and validation.
-Proficiency with SQL and/or Google BigQuery to manage and query large datasets (1M+ rows).
-Ability to work with raw databases and system exports (ShipWorks/ShipHero experience is a plus, but not required).
-Advanced Excel/Google Sheets skills for final reporting.
-Attention to detail — accuracy is critical since results will drive financial recovery.
(Preferred) Background in logistics, eCommerce, or invoicing systems.
DELIVERABLES
-A consolidated dataset of all invoices (standardized format).
-Queries/logic used to compare billed prices vs. flat-rate sheets (transparent process).
-Reports showing:
-Correctly billed shipments
-Underbilled/unbilled shipments with totals
-Yearly and invoice-level summaries
-Reconciliation across ShipWorks ? ShipHero transition
-Estimated total underbilling from both:
-Pricing sheet discrepancies
-Historical reporting losses
-Recommendations for preventing future discrepancies and billing gaps.
Contract-based project (with potential for ongoing collaboration depending on results)
Start: Immediate
Rate: $9–$12/hour (negotiable depending on experience and interview outcome)
