Job Overview

We’re looking for a detail-oriented Virtual Assistant to support our construction operations team. This role will handle job paperwork, permit coordination, estimate formatting, subcontractor communication, and help maintain JobTread and other project management systems.

Responsibilities

Organize and upload job documents (plans, permits, bids, contracts)

Prepare and send subcontractor work orders and change orders

Maintain JobTread project records and update budgets/cost tracking

Assist with permit applications and follow-up

Format estimates and client proposals using company templates

Communicate with clients and vendors via email

Track project progress and prepare weekly job status reports

Perform data entry and simple research as needed

Qualifications

Excellent written and verbal English

Experience with construction admin or project coordination preferred

Strong attention to detail and follow-through

Familiar with Google Workspace, spreadsheets, and CRMs

Self-managed and deadline-oriented

Comfortable learning new systems (JobTread, ClickUp, etc.)

Bonus Skills

Experience in construction estimating, blueprint reading, or permit processing

Familiarity with U.S. construction processes

Basic marketing or CRM automation knowledge
