ClickUp Technical Specialist & Automation Expert (Remote, Part-Time)
About Us
We are a growing international organisation operating across multiple business units, including student accommodation, homestay services, operations, and finance. We rely heavily on ClickUp to manage workflows, streamline processes, and automate repetitive tasks across teams. We are now seeking an experienced ClickUp Automations Specialist to help us optimise, automate, and scale our internal systems.
Role Overview
We are looking for a highly skilled ClickUp technical specialist who can build advanced workflows, create automated processes, integrate external platforms, and support ongoing system improvements. This role involves both building new workflows and automating existing ones, ensuring our operations become faster, more consistent, and more efficient.
You will work closely with management and department leads to understand operational requirements, map processes, and develop automated solutions in ClickUp.
Key Responsibilities
ClickUp Automation & Workflow Building
Create, configure, and optimise ClickUp workflows across multiple departments
Build automations based on triggers, dependencies, task statuses, form submissions, and process milestones
Set up custom task views, dashboards, and reporting structures
Improve task handovers between departments and reduce manual work through automation
Systems Integration
Connect ClickUp with external applications such as:
Google Sheets (syncing data, automated updates, external triggers)
Gmail (automated
Xero (syncing finance tasks, invoice workflows, revenue tracking)
Build and maintain integration pathways using:
n8n
Webhooks and API-based automations
Automation Innovation
Identify inefficiencies and propose automated solutions
Create documentation for workflows, automations, and integration processes
Support the development of SOPs tied to ClickUp workflows
Ensure automations continue to run smoothly as workflows evolve
Ongoing Support
Be available on a weekly basis to action automation tasks, troubleshoot issues, and build new features
Help refine and upgrade workflows based on team feedback
Work on small and large automation tasks as needed
Requirements
Proven experience building advanced ClickUp automations and workflow systems
Strong understanding of
Experience integrating ClickUp with external systems (Google Workspace, Xero, CRM systems, etc.)
Ability to design process flows and translate them into automated solutions
Strong technical mindset with the ability to troubleshoot and optimise systems
Excellent communication skills and ability to work independently
Availability for weekly recurring work (ongoing engagement)
Nice to Have
Experience with API connections or custom webhook development
Background in operations, project management, or process improvement
Familiarity with Cloudbeds, HubSpot, or other SaaS platforms we use
