Vivi Salon is a growing Australian hair, nails, lashes, and cosmetic tattoo business, expanding into multiple locations and preparing for franchising. We are rebuilding our ClickUp system from scratch to centralise HQ functions and make the business scalable.

???? Role Overview

We are hiring a ClickUp Systems Lead to design, build, and document a new HQ ? Location framework inside ClickUp. This is a project-based role, paid per milestone after practical deliverables are produced. After setup, the successful candidate will transition into a team lead role, managing junior ClickUp supporters and maintaining the system long-term.

???? Responsibilities

Audit current ClickUp setup and produce an Action Plan for HQ + multiple salon branches.

Build structured Spaces, Folders, Lists, Docs for:

HQ Departments (HR, Finance, Marketing, Inventory, Expansion)

Location Spaces (Operations, Inventory, Local Marketing, Reporting)

Apply universal statuses, custom fields, and automations for consistency.

Create System Journal Docs and Loom training videos for:

System Coordinator (technical)

Management (review & approvals)

Employees (day-to-day use).

Lead a small team of future ClickUp supporters (assign, review, train).

Run quarterly ClickUp audits and update SOPs.

? Requirements

3+ years experience as a ClickUp Expert/Consultant.

Proof of ClickUp certification (Verified Consultant or University).

Experience with multi-location businesses (retail, service, franchise).

Strong knowledge of Google Workspace integrations.

Hands-on skills in automation tools (Zapier, Make).

Clear, simple communicator — must produce practical builds, not long theory docs.

? Nice to Have

PMP, PRINCE2, or Agile/Scrum certification.

Lean Six Sigma or process improvement training.

Experience in salon, beauty, or service industries.

???? Payment Terms

Not hourly. Project is paid per milestone.

A task/milestone is considered complete only when:

Practical ClickUp setup is working, and

Training materials are delivered for Coordinator, Management, Employees.

Example Milestones: HQ Setup ? HR Setup ? Marketing Setup ? Inventory Setup ? Expansion Setup ? Location Template ? Final Handover.

???? Trial Project (2 Weeks, Paid)

Shortlisted candidates will complete a paid trial inside a dedicated ClickUp Space:

Build 1 Folder + Lists for Marketing Campaigns.

Apply statuses, fields, automations.

Create 1 System Journal Doc.

Record 3 short Looms (Coordinator, Management, Employee).

Demonstrate 2-way communication with a test task.

Payment is released only after all trial deliverables are complete.
