We are a small but growing U.S.-based business with multiple active projects (brokerage listings, podcast production, conference prep, content creation, etc.). We need a ClickUp expert to help us design and build a clear, role-based project management system that organizes all areas of our work.
This is not just about creating lists or boards. We need someone who can:
- Take our skeleton workflows (we have rough outlines for Listings, Podcast, Conferences, and Marketing) and expand them into detailed, role-based task systems.
- Build spaces and folders in ClickUp that reflect different areas of the business (e.g., Listings, Marketing, Podcast, Conferences, Operations).
- Set up dependencies, automations, and templates so tasks flow smoothly without relying on memory.
- Create dashboards (by role, by project, by timeline) so the team has visibility.
- Train our team (via Loom or guide) on how to use the system day-to-day.
We’ve already prepared one detailed workflow example (Listings: Valuation ? Marketing) to show the level of detail we expect. The same level of depth should be applied across other workflows as we build.

Responsibilities:
- Review our provided workflow packet (skeleton + deep dive).
- Build out the Listing Management pipeline in ClickUp first (our top priority).
- Create spaces/folders for additional workflows such as:
Podcast Management (episodes, editing, promotion).
Conference Attendance (travel, booth setup, speaking prep).
Marketing/Content
- Develop templates for recurring projects (e.g., every new podcast episode, every new listing, every conference).
- Configure dashboards to show both high-level pipeline views and weekly tasks by role.
- Provide a Loom or simple guide to onboard the team.
- Optional: Offer ongoing support for updates as needed.
Qualifications:
- Strong experience setting up ClickUp (preferred) or similar tools (Asana, Monday) for multi-project businesses.
- Skilled at taking rough outlines and turning them into detailed workflows.
- Experience creating automations, templates, and dashboards.
- Strong organizational mindset and attention to detail.
- Good communication skills in English (written and spoken).
Compensation:
One-time setup project: Estimated 40–60 hours.
$6–$12/hour depending on experience.
Option for ongoing part-time support (a few hours/month) for system maintenance.
