As a Call Confirmer, you are responsible for ensuring that qualified prospects show up prepared and on time for discovery calls. You play a critical role in protecting the pipeline by reducing no-shows, maintaining engagement, and keeping schedules accurate. You are the bridge between appointment setters and sales representatives, making sure every scheduled call has the highest chance of success.
This role is not just about making calls—it’s about managing attendance, building rapport quickly, and keeping the deal flow active and reliable.
About the Role
We’re looking for a detail-oriented and proactive communicator to manage appointment confirmations and attendance. You will engage with prospects before their scheduled calls, confirm attendance, handle reschedules, and ensure all activities are accurately tracked in the CRM. Your goal is to maximize show-up rates and maintain a smooth, predictable call pipeline.

Responsibilities
Conduct outbound calls to confirm prospect attendance for scheduled discovery meetings
Clearly communicate meeting details, expectations, and agenda to prospects
Manage rescheduling, cancellations, and calendar updates in CRM and scheduling systems
Engage prospects prior to calls to maintain interest and assess readiness
Identify potential no-show risks and take proactive steps to mitigate them
Accurately log all call activities, confirmations, and notes in the CRM
Follow up with no-shows to re-engage and reschedule qualified prospects
Coordinate closely with appointment setters and sales representatives for alignment
Monitor confirmation rates, attendance rates, and rescheduling outcomes
Provide regular performance updates and reports
Maintain a professional, engaging tone in all communications
Requirements
1–2+ years experience in customer service, sales support, appointment setting, or similar roles
Strong verbal communication skills with a confident and professional phone presence
Highly organized with strong attention to detail
Ability to manage multiple calls, schedules, and updates efficiently
Comfortable working in a fast-paced, remote environment
Proactive mindset with strong follow-up discipline
Nice to Have
Experience in outbound calling, lead qualification, or sales coordination
Familiarity with CRM systems and scheduling tools
Background in high-volume call environments
