About the Role

We are a growing, multi-location tax and accounting firm seeking a detail-oriented Bookkeeper / Personal Assistant to support both our finance operations and the CEO directly. This is a hybrid role: roughly half bookkeeping in QuickBooks Online, half executive/personal assistant support. The ideal candidate is sharp, discreet, highly organized, and comfortable wearing two hats in a fast-paced environment.

English fluency (written and spoken) is required — you will be communicating directly with U.S.-based clients and the executive team daily.

Key Responsibilities

Bookkeeping (QuickBooks Online)


Manage day-to-day bookkeeping: bank/credit card reconciliations, AP/AR, journal entries
Maintain clean, accurate books for multiple entities
Prepare month-end close packages and basic financial reports (P&L, balance sheet)
Categorize and clean up transactions; flag discrepancies proactively
Assist with client bookkeeping deliverables alongside the internal team


Personal/Executive Assistant


Manage calendar, scheduling, and meeting coordination (Calendly)
Triage and draft email correspondence
Handle personal task management and reminders (Trello)
Conduct research and prepare summaries as needed
Coordinate travel arrangements and personal errands
Support light project management across business initiatives
Maintain strict confidentiality with sensitive financial and personal information


Requirements


5+ years of hands-on QuickBooks Online experience (non-negotiable)
Excellent English communication skills, written and verbal
Must be available to work Central Standard Time (CST) business hours
Strong organizational skills and ability to manage competing priorities
High attention to detail and accuracy
Trustworthy, discreet, and professional — this role involves access to sensitive financial and personal information
Reliable internet connection and quiet home office setup
Comfortable with U.S. business/tax terminology (or willing to learn quickly)

Nice to Have

Experience with TaxDome, Drake Tax, Trello, Calendly, or Zapier
Prior experience supporting a U.S.-based tax, accounting, or financial services firm
Prior experience in an executive/personal assistant capacity
QuickBooks ProAdvisor certification
