If you enjoy turning messy, manual workflows into clean automated systems, and you like solving real operational problems, this could be a good fit.

Platinum Healthcare has been supporting Perth communities since 2006. We work across NDIS, aged care, Support at Home, recruitment, and business support. Our coordinators handle a high volume of email: clinical notes from external providers, task requests, and automatic alerts from our scheduling and client management system. We want to automate the triage, summarising, record-keeping, and filing of that email so coordinators spend less time on noise and more time on clients.
This is a part-time or project-based role. We are not sure we have enough work to keep someone busy full-time, so we want someone who can scope, build, document, and hand over a working system, then stay available for the next phase. You will design and build the automations yourself, not just advise.

What This Role Is Really Like
This is a build role, not a pure advisory one.
You will look at how email and alerts currently flow to our coordinators, design a better process, and build it in our Microsoft 365 environment. You will work under our governance: we control the credentials, the environment access, and any write-back to live client records. You build inside that, document what you build, and train us to run it.
The work blends:
• workflow design and process mapping
• Power Automate flow building
• AI-based classification and summarisation
• API and custom connector integration
• documentation and handover

The Work
A current example of what we want built:
• Coordinators receive every email and system alert in one inbox. We want each new message classified: does the coordinator need to do anything, is there a deterioration or input request, what is the urgency.
• We want a short, clear summary produced for the coordinator on items that need action.
• Where an email is an external clinical update, we want a note or document created in the matching client record in our system (Sandwai) via its API.
• Once an email is processed, we want it moved to an archive folder automatically.
• We want a manual-review path for anything the automation cannot match or classify with confidence, so nothing is written to the wrong client.
You would design this as a staged build: a quick win first (triage and summary), then system integration, then governance and audit controls. We expect you to recommend the right sequence.

What We're Looking For
• Strong, demonstrated experience building automations in Microsoft Power Automate
• Experience with Microsoft 365 and Outlook / shared mailbox automation
• Experience calling REST APIs and building or configuring custom connectors
• Experience using AI / prompt-based steps for text classification and summarisation (AI Builder, Copilot Studio, or similar)
• Able to design a sensible process, not just wire up tools
• Clear documentation and handover skills, so we can run and maintain what you build
• Comfortable working within client governance and least-privilege access, especially around health data
• Able to work independently, scope your own work, and manage priorities remotely
• Copilot Studio, Dataverse, or SharePoint experience is an advantage
• Healthcare, NDIS, aged care, or compliance exposure is advantageous but not essential

• Initial engagement is to scope and build the email automation described above
• Ongoing or repeat work likely for the right person as we automate more workflows
