JOB OVERVIEW

Hi there,

I run a sports nutrition membership business in Australia working with combat sport athletes. We help fighters make weight safely and perform at their best.

We are growing, and I’m looking for a high-skill Automation & Operations Assistant to become my right-hand person.

This is not a typical Virtual Assistant role.

I am not looking for someone to “wait for tasks”.

I am looking for someone who can:

- Improve systems
- Build automations
- Create SOPs
- Handle admin tasks efficiently
- Think and solve problems without being micromanaged

If you enjoy using tools like Zapier, Google Sheets, CRMs, and building organised systems - this job is for you.

Hours & Pay:
- 12–15 hours per week (with room for growth)
- 300–480 PHP per hour depending on skill

Long-term role with room to grow

Your Role:

This role is split into two parts.

Part 1 - Systems & Automation

You will:
- Build Zapier automations
- Connect Google Forms to Sheets and our CRM
- Improve our check-in and reminder systems
- Clean and organise data
- Create dashboards in Google Sheets
- Write SOPs for tasks and processes
- Continuously improve how the business runs

When admin is quiet, you work on improving systems.

Part 2 - Admin & Operations

You will also handle small but important operational tasks:

- Emails
- Reach out to new referrals using templates
- Follow up on bookings
- Sort and organise inbox
- Organise Calendar (Acuity)
- Stripe
- Start, pause, and cancel memberships
- Send invoices when required
- Process private health rebate paperwork
- Schedule posts and stories on Instagram
- Approve new members into a Skool group
- Remove members from Skool when offboarding
- Update and maintain CRM (Google Sheets)

- Create simple edits of instagram reels using CapCut (Not required - but will increase hours given)

- Acuity
- Skool

You must already have experience with Zapier, Stripe, GHL, and Google Sheets.

You are perfect for this if you:

- Love building systems
- Are organised and proactive
- Know Zapier well
- Can improve processes without being told
- Have experience with CRMs and automations
- Have strong written English
