Automation Assistant – Twilio + GPT-4 + OctopusPro System Setup

We’re a leading junk removal business . We’re building a fully automated quoting, dispatch, and CRM system using tools like GPT-4 Vision, Twilio, and n8n. Your role is to set up and connect everything step-by-step with the owner (me).

This is a one-time setup job — but if you impress, there may be long-term work.

Twilio (SMS + voice intake)

OpenAI (GPT-4 + Vision + Whisper)

n8n (automation builder)

OctopusPro (CRM / field service manager)

Google Sheets API

Stripe / Xero

BrightLocal (GMB + review automation)

???? Tasks & Responsibilities:
1. Enquiry Automation
Catch SMS, email, missed calls, and form enquiries

Parse customer details using GPT-4

Auto-reply to ask for photos and job info

2. GPT-4 Vision Quote Drafting
Send photos to GPT-4 Vision

Match quote logic to suburb, item type, and access

Hold quote for manual approval before sending

3. Booking + Dispatch
Push approved jobs into OctopusPro

Assign to correct truck based on area/routing

Send confirmation to customer

4. Payment & Invoicing
Trigger Stripe payment links

Sync completed jobs to Xero for invoicing

5. Review + GMB SEO
Send automated Google review request

Post before/after job photos to GMB with captions

6. Logging & Tracking
Log leads and quote status in Google Sheets

Enable UTM tracking for Google Ads source

7. SOPs & Documentation
Record Loom videos

Write simple SOPs for each automation

???? Pay & Bonus:
$20 AUD/hour (? ?760 PHP/hour)

$150 AUD Completion Bonus if finished + bug-free within 14 days

Estimated 40–55 hours total

Must be fully tested and reviewed together with the owner

???? Skills Required:
? Strong experience with n8n or similar tools (Zapier, ---------- , etc.)

? You can use APIs, webhooks, and handle JSON

? Experience using GPT-4 API, Whisper, and Vision

? You can integrate Twilio, Stripe, or similar systems

? Bonus if familiar with OctopusPro, FSM tools, or GMB SEO

? Strong written English for SOPs + Loom videos
