iFOAM Insulation and Thermo Ridge Insulation are Denver-based insulation contractors delivering premium spray foam, batt, blow-in, and hybrid insulation solutions to residential and commercial clients across Colorado. We are growing — and we need a sharp, detail-oriented virtual Assistant Project Manager & Estimator to help us manage projects, control costs, and keep our sales and install teams running smoothly every single day.

POSITION AT A GLANCE
Position: Assistant Project Manager & Estimator (Virtual)

Work Type: Remote — International Independent Contractor
Hours: Part-time to Full-time | Mountain Time (MT) business hours required
Daily Meeting Required: Sales & Install team standup each morning
Experience: Minimum 2 years in construction project management
Reports To: Sales & Project Management Leadership

THE ROLE
This is not a background administrative role. You will be an active, daily participant in our operations — sitting inside project finances, coordinating crews, communicating with clients and GCs, and keeping leadership informed in real time. If something is off on a job, you will catch it first and flag it fast. You will support both the iFOAM and Thermo Ridge teams, working directly with sales leadership and the install crew to make sure every project runs on time, on budget, and with zero surprises.

WHAT YOU'LL DO

1. Project Cost Management
• Monitor and update job costing in real time as projects progress
• Track labor, material, and subcontractor costs against estimated budgets
• Flag cost overruns or budget deviations to leadership immediately
• Generate and maintain job cost reports for active projects

2. Daily Reporting & Team Communication
• Attend daily morning standups with both the sales and install teams
• Report on current project status, cost position, and any open issues
• Maintain a running log of project notes, change orders, and decisions
• Keep leadership updated throughout the day via Google Chat or OpenPhone

3. Estimating & Takeoffs
• Perform material takeoffs using Bluebeam, PlanSwift, or equivalent tools
• Assist with bid preparation and scope-of-work documentation
• Review plans and specs to identify quantities, materials, and labor needs
• Maintain and update pricing databases as material costs change

4. Procurement & Purchase Orders
• Order materials and supplies based on job schedules and project needs
• Create, track, and close out purchase orders in JobTread or equivalent
• Coordinate with suppliers to confirm lead times and delivery schedules
• Reconcile material deliveries against purchase orders and flag discrepancies

5. Client & GC Communication
• Support the sales team in communicating with clients and general contractors on scheduling
• Send confirmations, updates, and follow-ups on behalf of project leadership
• Help manage RFI responses and document submittals for commercial projects
• Maintain a professional, responsive presence in all external communication

6. Install Team Coordination & Scheduling
• Assist in scheduling the install team across active and upcoming projects
• Coordinate with crew leads to confirm start times, site access, and material availability
• Adjust schedules in real time when projects shift, and notify all parties promptly
• Track crew availability and flag scheduling conflicts before they become problems

WHAT WE'RE LOOKING FOR
Experience & Background
• Minimum 2 years of experience in construction project management or a closely related field
• Hands-on experience with estimating and material takeoffs — insulation, drywall, or similar trades preferred
• Demonstrated ability to manage multiple projects simultaneously without dropping details
• Strong understanding of job costing, purchase orders, and construction project workflows
• Experience working remotely and coordinating with field-based teams

• Comfortable speaking directly with clients and general contractors
• Self-directed and proactive — you don't wait to be told something is wrong

• Coachable, team-oriented, and willing to learn our systems and processes

REQUIRED SOFTWARE EXPERIENCE
You do not need to know our exact tools — but you must have solid experience with tools in each category below. We will train on our specific systems during onboarding.

Softwares
1. Project Management: JobTread (preferred) or equivalent (Procore, Buildertrend, CoConstruct)
2. Estimating / Takeoffs: Bluebeam, PlanSwift, or equivalent plan markup & takeoff tool
3. Communication & Docs: Google Workspace — Gmail, Drive, Sheets, Docs, Calendar
4. CRM HubSpot: — lead tracking and client communication logging
5. Team Communication: OpenPhone, WhatsApp, or Google Chat
6. Scheduling: Google Calendar or integrated scheduling within project management tool
