About the Role
Responsibilities
a. Automation & AI Workflow Development
Design, build, and maintain AI-powered automations and workflows using tools such as Zapier, Make (Integromat), n8n, and Go High Level (GHL).
Develop end-to-end automation solutions that connect CRMs, communication platforms, databases, and internal tools.
Build AI-driven chatbots, SMS/phone intake systems, and voice assistants to support lead intake, customer communication, and internal operations.
Implement voice and communication automations using platforms such as Retell AI and Twilio.
b. AI Integration & Custom Development
Create and maintain custom API integrations using Python, JavaScript, and/or low-code environments such as Replit.
Integrate AI APIs and services (e.g., OpenAI, Retell AI, ElevenLabs) into existing systems and workflows.
Design scalable logic for AI-driven decision-making, routing, and responses.
Ensure data accuracy, synchronization, and reliability across all connected systems.
c. Systems Optimization & Problem Solving
Identify workflow inefficiencies and operational bottlenecks across departments.
Proactively recommend and implement automation and AI solutions that improve speed, accuracy, and scalability.
Troubleshoot, debug, and resolve automation failures or performance issues.
Optimize workflows to reduce manual work, errors, and response times.
d. Documentation, Testing & Reliability
Test automations thoroughly to ensure stability, edge-case handling, and error recovery.
Create clear documentation, diagrams, and SOPs for all automations built.
Maintain version control and change logs for updates and improvements.
Ensure automations are secure, compliant, and scalable for future growth.
e. Cross-Functional Collaboration
Work closely with Operations, Marketing, Sales, and Client Success teams to translate business needs into automation logic.
Support internal stakeholders by explaining automation behavior, limitations, and improvement opportunities.
Contribute to agency-wide automation standards and best practices.
Nice-to-Have Skills
Experience with Twilio, Retell AI, or similar communication automation platforms.
Familiarity with Airtable, Notion, and Google Sheets as data sources or operational databases.
Experience integrating marketing and call-tracking platforms such as WhatConverts, CallRail, or agency reporting dashboards.
Hands-on experience with Replit or similar platforms for building and deploying internal tools.
Automation experience for CRMs, sales pipelines, or marketing funnels.
Contributions to AI or automation projects (e.g., GitHub repositories, Replit projects).
Soft Skills
Strong communication skills with the ability to explain complex technical systems in clear, simple terms.
Comfortable working independently while collaborating effectively with remote teams.
Highly curious and proactive, with a strong interest in emerging AI and automation tools.
A systems thinker who translates business challenges into logical, scalable automation solutions.
Organized, detail-oriented, and committed to building reliable, maintainable systems.
Qualifications
Strong hands-on experience with automation platforms such as Zapier, Make (Integromat), n8n, and GHL.
Practical experience working with AI APIs and frameworks (e.g., OpenAI, Retell AI, ElevenLabs).
Solid understanding of APIs, webhooks, authentication, and data workflows.
Background in AI coding, scripting, or application development using Python, JavaScript, or low-code tools.
Experience building SMS, phone, or voice-based AI intake systems.
Proven ability to design, test, debug, and maintain reliable automation workflows.
Strong documentation skills and attention to detail.
