We are looking for a sharp, organized, tech-savvy Admin & Operations Assistant to support a growing media / creative business in the real estate industry.
This role is ideal for someone who is already comfortable using AI tools like Claude, ChatGPT, Gemini, or similar tools in their daily work. You do not need to be an AI expert or developer, but you should be curious, resourceful, and excited to use AI every day to move faster, stay organized, create drafts, summarize information, improve workflows, and help the business operate more efficiently.
Experience with real estate media, photography, videography, real estate marketing, or creative agencies is a plus, but not required. The most important things are strong communication, strong admin ability, comfort with technology, and a willingness to learn quickly.
Responsibilities may include:
- Using AI tools like Claude and ChatGPT to assist with daily admin, operations, writing, research, and organization tasks
- Helping manage client communication, scheduling, calendar coordination, and follow-ups
- Updating and maintaining CRM systems
- Managing
- Organizing files and folders in Dropbox or Google Drive
- Helping with invoicing, billing updates, payment tracking, and basic admin finance tasks
- Creating drafts, summaries, SOPs, checklists, templates, and process documentation using AI
- Supporting project coordination from booking through delivery
- Communicating clearly with the business owner and team about priorities, blockers, and next steps
- Looking for ways to improve systems, automate repetitive tasks, and make the business more efficient
Required Skills:
- Strong written English communication
- Experience using AI tools such as Claude, ChatGPT, Gemini, or similar
- Comfortable learning new tools and software quickly
- Experience with admin, executive assistant, operations assistant, or project coordinator work
- Organized, detail-oriented, and proactive
- Comfortable working inside tools like
- Able to follow instructions but also think critically and suggest improvements
- Reliable internet connection and consistent availability
Nice to Have:
- Experience working with a real estate media company, photographer, videographer, marketing agency, or creative agency
- Experience with invoicing, Stripe, QuickBooks, or similar billing tools
- Experience building SOPs, process docs, templates, or internal systems
- Experience with automation tools like Zapier, Make, Airtable, Notion, or ClickUp
- Familiarity with client bookings, project delivery, file organization, creative production, or media workflows
Important:
This is not a basic admin role where you only wait for instructions. We are looking for someone who can use AI as a daily work partner. You should be comfortable asking AI tools good questions, improving drafts, summarizing calls or notes, creating systems, and helping turn messy information into clear action steps.
