JOB OVERVIEW

We are a travel company that specializes in organizing, curating, managing, and hosting group travel experiences around the world. Our business has undergone significant changes due to COVID-19 and will continue to evolve. We are seeking an Operations & Marketing Assistant to join our team and contribute to the success of our travel projects.

As an Operations & Marketing Assistant, you will have a range of responsibilities and activities. We are looking for someone who is a critical thinker, capable of creating their own workflow, and able to devise effective paths to achieve desired ---------- anization, attention to detail, diligence, and timeliness are essential qualities for this role.

Additionally, strong creative and technical writing skills are necessary as you will be responsible for crafting marketing emails and important trip-related communications.

Key Responsibilities:
+ Potential Client Engagement:
+ Send weekly emails highlighting destinations currently open for travel during COVID-19.
+ Respond to email and social media inquiries promptly and provide excellent customer service.

Past Client Engagement:
+ Schedule interviews between our founder and past clients, including sending invitation emails using Calendly.
+ Coordinate online Zoom events for past clients, involving drafting invitation emails, creating schedules, and generating interest.
+ Ensure ongoing connection with past clients who may not be traveling with us presently.
+ Preparing for Trip Openings: Marketing:
+ Write engaging marketing emails for various destinations to encourage guests to register.
+ Ensure past clients are the first to know about upcoming travel opportunities, suggesting additional perks for their loyalty.
+ Create creative marketing materials using Canva or provide creative direction to a copywriter.

Vendors:
+ Conduct vetting process for new vendors and evaluate their suitability for the company.
+ Collect quotes from vendors and assist in curating trip itineraries through effective communication.
+ Coordinate with existing vendors to finalize trip details and ensure everything is in order.

Guest Management:
+ Respond to customer inquiries and update the trip page's FAQ section.
+ Create internal marketing emails for registered guests, maintaining excitement for the trip with visually appealing content.
+ Draft trip emails containing important information using existing templates.
+ Design and distribute guest surveys using Survey Monkey software.
+ Manage the customer roster, noting cancellations, roommate changes, and special circumstances.
+ Create necessary documents such as flight schedules, T-shirt size charts, allergy alerts, roommate matching lists, and emergency contact lists.

General:
+ Stay updated on new regulations and developments in countries where we operate, using Google alerts.
+ Take the lead on other projects as assigned.

Qualifications and Skills:
+ Critical thinking skills with the ability to create and execute workflows independently.
+ Incredible attention to detail
+ Strong organizational skills and attention to detail.
+ Excellent written and verbal communication skills, particularly in creative and technical writing.
+ Ability to manage multiple responsibilities and tasks efficiently.
+ Proficiency in using Canva, Survey Monkey, and other relevant software.
+ Familiarity with email marketing tools and customer relationship management (CRM) systems is a plus.
+ Passion for travel and the ability to convey enthusiasm to customers.
