Administrative Assistant Responsibilities:
Complete paperwork for all real estate transactions in a timely manner to ensure a deal is closed as quickly as possible.
Respond to Interview and/or Appearance Requests.
Keep the Open Invoice Excel up to date
Email
Send out W9’s to new contractors and then add them to the w9
Enter new Vendors, Quotes and anything related to the property into Flipper Force this includes documents.
Schedule Zoom Calls using Gmail (as needed).
Track packages and ensure they are properly labeled and stored away.
Create Project Scheduler in Flipper Force.
Monitor deadlines and provide notices to appropriate parties when necessary.
Ensure each transaction complies with legalities and any tax withholdings are complete.
Schedule necessary appointments with all parties, including open houses and the final walkthrough.
Proactively search for new contractors.
Update SOW’s as needed.
Keep track of all financials per project as receipts come in and enter them into flipperforce.
Pay All Utilities using LTR Sheet.
Create new company phone numbers in Callrail / test phone numbers weekly to make sure they are not marked as spam.
Create and/or sign documents in dotloop.
Add Rent payments from tenants to Rentec Direct (Property Management software).
Pay any invoices and/or bills which include Insurance, Storage etc.
Keep track of Utilities for new properties we purchase, and when they must be turn ON or OFF (depending on purchase or sale date).
Help organize community outreach events to improve our standing in the local area.
Hire people to create marketing materials including brochures, flyers, online marketing, social media posts, etc. to continuously build our
Participate in training sessions to improve skills with administrative tasks in the real estate industry.
Assist real estate agents with the coordination and preparation of successful open house events.
Prepare, deliver and pick up real estate documents.
Handle advertising of the property online and through newspapers.
Coordinate with photographers to get photos of properties before and after repairs and to be used in the marketing process.
Put up and remove 'for sale by owner' signs on the property.
Coordinate, oversee and inspect the completion of repairs on the property that is for sale.
Obtain information and public records about property for sale.
Greeting clients, answering the telephone, and making follow-up calls.
Preparing correspondence, scheduling meetings, and making travel arrangements.
Preparing real estate forms and documents.
Coordinating showings, assisting at open houses, and obtaining feedback.
Ordering supplies, preparing and distributing marketing materials.
Maintaining electronic and paper filing systems.
Preparing listing materials and posting property listings.
Managing a client database and preparing reports.
Assisting with closing processes.
Performing other duties as assigned.
