ABOUT THE ROLE:
Golden Rose Management and Entertainment is seeking a Virtual Assistant (General Admin) to support our full-time, high-energy American touring wedding and party bands. Our bands perform across the southeastern U.S., gracing weddings, corporate functions, and notable venues. With our versatile band family, we are looking for someone who can adapt quickly to our fast-paced, ever-changing environment while maintaining an upbeat, can-do attitude. Our bands are more than just performers—we are a tightly-knit family that thrives on collaboration, and we rely on each other to keep the show running smoothly week after week.

Since our inception, we’ve consistently received outstanding reviews and have a steady stream of events. The upcoming years promise even greater excitement, and we want someone who is as enthusiastic about our future as we are. Upon hiring, there will be a training period and a trial phase to ensure a seamless transition into the role. Afterward, you’ll jump into your regular responsibilities.

RESPONSIBILITIES:
Your duties will include (but are not limited to) the following tasks:

• Event Calendar Management: Maintain and manage the band’s event calendars, ensuring that all band members are aware of changes and updates.
• Client Coordination: Assist in advancing wedding and event clients, collaborating with the owners via email, phone calls, iMessaging, Zoom, or Google Hangouts.
• Itinerary Creation: Create and manage detailed event itineraries and timelines for each band performance, ensuring that every detail is accounted for.
• Travel Arrangements: Oversee the band’s transportation schedules, book and confirm travel and accommodations for the team as needed.
• 24/7 Availability: Maintain relatively open availability to communicate via calls or text messages throughout the day. Consistent and timely communication is crucial.
• Weekly Reporting: Send out a comprehensive weekly report via email, detailing completed and upcoming gig details, as well as updates to the band’s calendar.
Email Management: Assist the owners in managing client communications, including checking for missed emails that may have gone to spam or been missed after 24-48 hours.
• Organization: Regularly organize incoming emails, clear out spam, respond to important inquiries, and forward messages to relevant tea ---------- mbers.
• Attendance Records: Keeping a record of staff attendance for all staff members participating in all events each week.

REQUIRED TECHNICAL SKILLS:
Applicants must have at least 1 year of experience in the following:

1. Customer Service: Experience handling communication via phone and email.
2. Calendar Management: Ability to keep detailed and organized event schedules.
3. Appointment Setting: Proficiency in scheduling meetings and events.
4. General Admin: Experience in administrative tasks.
5. Project Management: Skilled at managing multiple tasks and projects efficiently.

SOFT SKILLS:
In this fast-paced industry, it’s essential that our virtual assistant possesses the following qualities:
• Fast Learner: Quickly adapt to new tools and procedures.
• Attention to Detail: Precision is key; mistakes can have big consequences in live events.
• Follow Instructions: Ability to carefully follow instructions and complete tasks as directed.
• Organized: Keep track of multiple schedules, clients, and details simultaneously.
• Strong Communication: Timely, clear, and professional communication is crucial.
• Critical Thinker: Ability to analyze situations and come up with creative solutions independently.
• Fluent in English: Must have excellent verbal and written communication skills.

DESIRED TECHNICAL SKILLS & EXPERIENCE:
While we don’t require expertise in every tool, we do expect familiarity with most of the following:

• iMessaging (required)
• Dialpad
• GroupMe (our primary app for band communication)
• Search Engines (Google, IE, Bing, etc.)
• Microsoft Word
• Gmail & Other Email Applications
• Google Docs
• Google Calendar
• Time Management Software

STARTING COMPENSATION:
• Part-time: $300/month
• Full-time: $500/month

• A pay raise based on performance and commitment.

TRAINING PROVIDED:
If accepted, you will receive training in:
• Building band itineraries and managing our shared Dropbox folders.
• Responding professionally to band clients and handling client communications efficiently.
