JOB OVERVIEW

Looking for a Strategic/ Executive Assistant to perform a variety of administrative tasks and support the CEO to grow the business. Assist the CEO with various tasks such as research, marketing, accounting, project management and general admin work on a daily basis. The ideal candidate should possess strong organizational skills, the ability to learn quickly, exercise independent judgment, plan, prioritize, and organize
The individual must be self-motivated, honest, trustworthy, dedicated and determined with good comprehension skills.
This Executive Assistant will provide assistance in these 6 major areas and free the Executive to do their most effective work. These 6 areas are:

1. Assist in managing the Executive’s email, both internal and external communication
2. Manage the internal project software ensuring that all strategic projects
3. Manage the practice management software for existing clients - including client communications, billing, document management
4. Manage many of the sales and marketing activities - prospect lead research, onboard new clients in the system
5. Manage internal process and systems documentation
6. Provide other administrative assistance as needed - e.g. answer phone calls

Experience with a project management software (e.g. Clickup) Office365 - Outlook, Teams, Sharepoint; Quickbooks preferred

Required Skills and Qualifications:

• Bachelor's Degree in Business Administration or a related field.

• A minimum of 5 years of experience as an Executive Assistant or similar role supporting C-Level executives.

• Exceptional organizational skills and attention to detail.

• Excellent verbal and written communication skills.

• Proficiency in Microsoft Office Suite and other business-related software.

• Ability to maintain discretion and confidentiality with sensitive company information.

• Strong problem-solving skills and the ability to make decisions under pressure.

• Demonstrated capacity to handle a fast-paced environment and to juggle multiple tasks and competing priorities effectively.

• Strong interpersonal skills and a professional demeanor.

• Fast learner and can work with minimal supervision
