JOB OVERVIEW

We are currently seeking a highly organized and proactive Virtual Assistant to support our team. The Virtual Assistant will be responsible for a variety of administrative tasks, including email correspondence, meeting scheduling, travel arrangements, contact management, meeting coordination, reporting, and other general administrative duties. Excellent communication skills, excellent English proficiency, and experience as a virtual assistant are required. This is a remote position.

Responsibilities:

> Respond to emails promptly and professionally, handling inquiries and forwarding messages as necessary.

> Schedule and coordinate meetings, ensuring all participants are notified and provided with necessary details.

> Arrange travel accommodations, including flights, accommodations, and transportation, while considering budgetary guidelines and preferences.

> Maintain and update contact lists, ensuring accuracy and completeness of information.

> Attend online meetings, take detailed notes, and prepare and distribute meeting minutes and action items.

> Follow up with your manager to collect necessary reports and information, ensuring timely completion of assigned tasks.

> Organize and manage calendars, ensuring meetings and appointments are accurately scheduled and conflicts are resolved.

> Create presentations as assigned, utilizing MS Office tools and following brand guidelines.

> Address administrative queries from employees, providing necessary support and guidance.

> Perform other administrative tasks as assigned by the manager or team.



Requirements and Skills:

> Advanced English proficiency, both written and verbal, to effectively communicate with tea ---------- mbers and stakeholders.

> Proven experience as a virtual assistant or in a similar administrative role.

> Strong proficiency in MS Office applications (Word, Excel, PowerPoint, Outlook).

> Excellent communication skills across various platforms, including phone, video conferencing, email, and messaging apps such as WhatsApp.

> Solid organizational skills with the ability to prioritize tasks and manage time effectively.

> Attention to detail and a high level of accuracy in all work.

> Ability to work independently, taking initiative and demonstrating reliability.

> Respect for confidentiality and discretion when handling sensitive information.

> Tech-savviness and ability to quickly adapt to new tools and software.
