Job Title: Virtual Assistant - Task Management and Accountability Specialist

Job Description:
We are seeking a highly organized and proactive Virtual Assistant (VA) to join our team and assist with task management, accountability, and various administrative duties. As a VA, your primary responsibility will be to help ensure that our team stays on track, meets deadlines, and accomplishes their assigned tasks. You will work closely with me, the team leader, to keep me accountable for my responsibilities and ensure that I am productive and efficient in completing my tasks.

Responsibilities:
1. Task Management and Accountability:
- Assist in creating and maintaining task schedules and deadlines for tea ---------- mbers using our Project Management system (NiftyPM).
- Regularly check in with tea ---------- mbers to ensure task progress and provide reminders, if necessary.
- Keep track of tea ---------- mbers' task completion and report any delays or issues to the team leader.
- Help establish and implement effective task management systems and tools.

2. Communication and Email Management:
- Monitor and manage email correspondence, flagging urgent messages and categorizing emails for easier access.
- Respond to routine inquiries and delegate relevant emails to the appropriate tea ---------- mbers.
- Assist in managing our business help desk by responding to customer inquiries or redirecting them to the appropriate tea ---------- mbers.

3. Deadline Management:
- Maintain a comprehensive calendar of important deadlines, milestones, and project timelines.
- Regularly remind the team leader and tea ---------- mbers of upcoming deadlines to ensure timely completion of tasks.
- Collaborate with the team to prioritize tasks and manage workload effectively.

4. Project Research and Documentation:
- Conduct project research, including SEO keyword research, and compile the findings into structured reports or spreadsheets.
- Utilize software tools like SurferSEO to analyze data and create document outlines for content creation.
- Submit research-based outlines to the content writing team for further development.
- Keep detailed records and documentation of research findings, project progress, and relevant information.

5. Meeting Support:
- Attend meetings and take detailed notes, capturing action items, decisions, and important discussion points.
- Assist in preparing meeting agendas, presentations, and related materials.
- Follow up on action items and ensure timely completion by the responsible parties.

6. Content Approval and Delivery:
- Coordinate with the team to ensure completed content is sent to clients for approval.
- Facilitate communication between clients and the team regarding content revisions, if required.
- Collaborate with designers to ensure timely delivery of approved content for further processing.

Requirements:
- Proven experience as a Virtual Assistant or in a similar role, preferably with a focus on task management and accountability.
- Strong organizational and time management skills.
- Excellent written and verbal communication skills.
- Proficiency in using task management tools, email platforms, and software such as SurferSEO or similar SEO tools.
- Familiarity with project management systems, specifically NiftyPM, to assist with team organization.
- Ability to multitask and prioritize effectively.
- Attention to detail and commitment to producing high-quality work.
- Proactive and self-motivated, with the ability to work independently and as part of a team.
