JOB OVERVIEW

Hi there,
I am looking for a Virtual Assistant to help me run my business.
This is a full-time position.
Working hours are Monday to Friday, 9 am to 5 pm.
Working hours are for the United Kingdom (London).

Our business provides document legalisation services.
Familiarity with this subject would be preferred, but training will be provided.

It's essential that you:
• You are not already in full or part time employment
• Have relevant experience to the role of a Virtual Assistant.
• You have a suitable working space, free from distractions.
• You have a stable broadband Internet connection and your own laptop.
• You have worked from home before, in some capacity.
• You are available to work during standard UK office hours, Monday to Friday.
• You MUST be a quick learner. (There is a lot to learn).
Answering emails as fast as possible is a priority!
Although you will also perform other tasks like:
• Answer all emails (enquires, existing orders etc)
• Deal with orders (log them on our sheet, follow up on orders)
• Follow up on enquiries via email.
• Invoicing
• Record keeping
• Post on social media
• Create processes to grow the team
• Daily reporting
• And more
You need to be FAST.
Early mornings are the busiest time (especially Monday morning).
Replying and placing orders as quickly as possible is ---------- our industry, customers need our services often quickly – so it is important that we respond to them asap, within 15 minutes.
Additional tasks you need to perform for when it is quiet:
Social Media Posting – writing.
You need to post across several social channels (we use software for this).
Create processes:
You need to create/record processes so that we can grow the team.
You need to document/write templates that can be used to copy and paste for email replies (we already have a few). This will make dealing with enquiries and orders easier.
Daily reporting
We will communicate daily via Skype or similar application.
Since it is not always busy with emails, you will need to perform other business and marketing tasks. So, any skills like bookkeeping (QuickBooks), email outreach (to get business accounts/clients), and other marketing skills would be welcome.
Please note this is a freelance / self-employed opportunity. You will be responsible for paying your own tax and National Insurance contributions.
