• Assist the PM in the review of Contractor quotations to ensure that only fair and reasonable pricing is recommended for approval
• Assist the PM in the drafting and issuance of project proposals, tenders, budgets, cash flows and preliminary schedules
• Prepare project organization and communication charts
• Use project scheduling and control tools to monitor projects plans, work hours, budgets and expenditures
• Ensure clients’ needs are met in a timely and cost effective manner
• Review field inspection reports from Consultants throughout the lifecycle of the project
• Issue Contracts, Letters of Intent, Purchase Orders, etc.
• Maintain Contract Execution Tracking Log
• Attend client meetings and assist with determination of project requirements
• Track & manage contemplated change notices and change orders in the database
• Prepare substantial completion certificates and ensure all required project close out documents are obtained
• Communicate ideas for improving company processes with a positive and constructive attitude, and for developing this attitude in others
• Keep the Project Manager (PM) and others informed about project status and issues that may impact client relations
• To maintain confidential documents and general files, and keep required office stationery and supplies
• Assigning contractor of each work orders through updating NFTS system
• Assisting each contractor to invoice their completed job orders
• Coordinates with the OSP Inspectors/Supervisors to monitor progress on the sites
• Updating daily NPTS system to monitor the monthly target & revenue of the project
• Daily reporting of each site progress & escalating risks & issues to Project Managers
• Project performance monitoring, advising Project Management of deviations to plan regarding schedule, finance and resource status
• Preparing PAT Binders for each PATed FDT’s
• Monthly project status reporting to include contract/project status
• Contributes to team effort by accomplishing related results as needed
• Resolving discrepancies by using standard procedures or returning incomplete documents to the team leader for resolution
• Maintains operations by following policies and procedures; reporting needed changes
• To prepare consolidated departmental daily/weekly reports and revenues
