JOB OVERVIEW

What are we looking for?

We are looking for a VA, project manager and back office administrator for our Digital Marketing Agency.

You will work as a personal assistant to the founders, handling daily tasks within the company as well managing different projects.

He/she will help ease workflow from Hampus and Jonas.

He/she needs to be fluent in English, both speaking and writing. Writing needs to be excellent.

He/she needs to be willing to go the extra mile and learn new software and technologies.

Will come on board as a full-time tea ---------- mber, which means she/he can not have another job or project running in parallel.

We are looking for someone that enjoys administrative day to day tasks.

We are looking for someone honest and transparent.




Examples of work:

- Email management, filter emails and answer simple questions or forward them to the right person. Handle answers from Email campaigns from Lead Generation.

- Prospecting for Lead Generation Campaigns.

- Setting up and arranging Zoo ---------- etings, including preparing materials and documentation, as well as sending out documents and documentation after the meetings. Additionally, there is a need to listen to Zoo ---------- eting recordings, proofread automatically summarized notes, and correct them. Once the notes are corrected, they should be sent out via email to the meeting attendees. Finally, tasks should be created in calendars and tasks management systems based on what was discussed and summarized in the meetings.

- Manage administrative tasks and work inside a project management system.

- Prepare documents, presentation materials and reports.

- File management and organization of documents, images and other materials

- Manage travel, including booking flights, hotels and transport, manage receipt accounting.

- Manage social media and create posts with ChatGPT.

- Support the founders in keeping track of deadlines and project planning.

- Manage other administrative tasks that may arise during the work week.



Who are we?

We are a fast growing Digital Marketing Agency focused on Paid Ads, Lead Generation and Marketing Automation and are looking to hire our first of many Virtual Assistants to join the team.

The company was founded by Jonas and Hampus.

Jonas is our Head of Sales and Hampus is our CMO (Chief Marketing Officer).

Hampus from Sweden, 27 years old and has been running his own ecommerce business for 5+ years and is currently working with VAs from the Philippines for his other company.

Jonas, also from Sweden, 36 years old, has been working in Sales 17 years and Growth Marketing 4 years. 5 years as a business owner.

Both of us are very easy going and our preferred way of working is very open and flexible. We are visionaries and like to talk about goals and plans for the future. We are dedicated and work a lot.

Our shared weakness:

is that we both are very bad and do not enjoy administrative work, which is why we need a new tea ---------- mber.

Generally we prefer to focus on the big picture, letting employees use their own judgment when it comes to handling details. But on the other hand we can be detail oriented when it comes to things we find extra important.

Another weakness is that we can be over innovative so much that we miss a solution already available and postpone administrative tasks.

1. Experience working as a VA

3. Prospecting for lead generation

4. Experience in working with a task management system, ex ClickUp, Asana, Monday, Airtable etc
