JOB OVERVIEW

We are seeking a warm, engaging, empathetic and detail-oriented Remote Intake Specialist to serve as the first point of contact for prospective clients.

This is more than a call-handling role—you will be the voice of our firm, setting the tone for each client’s experience and helping individuals feel heard, understood, and confident in taking the next step.

What You’ll Do
• Serve as the first point of contact for prospective clients via phone and other communication channels
• Engage callers in a professional, friendly, and conversational manner that reflects our firm’s values
• Follow structured intake scripts to gather key information efficiently and accurately
• Ask thoughtful follow-up questions to ensure a clear understanding of the caller’s needs
• Enter and maintain detailed, accurate information in our CRM system
• Schedule consultations and ensure a smooth handoff to our legal team
• Provide a reassuring and positive experience for individuals who may be navigating sensitive situations

A summary/outline of the position:

• Maintain the ethical integrity of the firm at all time
• Determine the suitability of the firm for the potential client
• Determine the suitability of the potential client for the firm
• Identify the most desirable cases/matters for engagement
• Gather and preserve important information for potential conflict of interest analysis and case/matter assessment
• Complete an initial consultation and engage the potential client if appropriate
• Direct the potential client to the person at the firm with the ability to conduct an initial consultation and engage the potential client if appropriate
• Prior experience in a law firm intake role or professional call center environment (legal experience strongly preferred)
• Exceptional and clear (USA) verbal and written English communication skills
• A natural ability to build rapport—engaging, personable, and empathetic
• Ability to balance being conversational while also adhering to scripts and processes
• Strong attention to detail with a high level of accuracy in data entry
• Comfortable using CRM systems and learning new technology platforms
• Reliable, organized, and able to work independently in a remote setting
• A professional demeanor and a genuine desire to help others

Prefer candidates with paralegal background, or comfortable with basic legal terminology.

The firm will provide significant training and scripts to ensure you’re comfortable and skilled before taking a call.

The calls will be originating from the USA. These calls will be made over VOIP, therefore the candidate must have high speed internet access that allows for calls and use of a computer during the phone call. Calls will be recorded.

Necessary Skills and Experience

• Attention to detail
• Interpersonal/communication skills
• Skilled at listening and following up with questions to better understand the callers true desires
• Familiarity with various computer programs (Word/Excel/etc.)
• Experience with ActionStep and Lawmatics is a big plus
• 1-3 years of professional customer service experience is preferred
• Empathy!
