Dispatcher/Office Assistant:
- schedules for service calls and appointments using phone, text and
- Respond to incoming phone calls regarding requests for repairs on air conditioning systems
- direct the service technicians to the appropriate locations, resulting in minimizing drive/down time between calls
- communicate effectively to customers on timing and expectations of visits and with managers/clients
- provide support with specified operations-related functions.
• Collect debrief information from technicians, including parts needed for restock.
• Track progress of open work orders and follow up on any pending items needed for completion.
• Maintain customer records and insert relevant notes for future reference.
• Review invoices after service appointment completion, add any materials, verify that payment was collected, and ensure that the money is returned to the office.
• Enroll, set-up, manage, schedule and prioritize Planned Maintenance Agreement customers.
• Identify and process warranties on covered equipment for relevant repairs
• Pull permits and track to completion, from initiation to final inspection
• Track referral sources & referral benefits
• Ensure all insurance and licensing information is up to date and is distributed as requested to industry partners
