Executive Support Specialist

About the role:

Our CEO needs an Executive Support Specialist. The task is to manage the majority of the CEO’s business-related responsibilities, including the creation of reports, the taking of minutes, and other administrative duties.
To succeed in this role, you must be well-organized, have excellent time management skills, and be able to act independently while providing timely support to our CEO.

Responsibilities:
• Maintain CEO’s agenda and assist in planning appointments, board meetings, conferences etc.
• Maintain electronic records ensuring information is organized and easily accessible.
• Conduct research and prepare presentations or reports as assigned.
• Helping prepare and attend meetings and keep minutes.
• Prepare invoices or financial statements and provide assistance in bookkeeping.
• Format information for memos, emails, reports, presentations, and other forms of internal and external communication.
• Answering phones and directing calls to the appropriate party, and/or taking messages
• Performing administrative task such as ordering supplies and maintaining a records database.
• Provide general administrative support


What we’re looking for:
• Top of the line organizational skills and time-management skills
• Degree in IT or any related field. Must be knowledgeable in the IT industry.
• Critical thinker with detailed research proficiencies.
• Ability to work under pressure and meet deadlines.
• Brilliant written and verbal communication skills.
• Proficient in MS Office and other project management tool.
• In depth knowledge of office management and basic accounting procedures as well as technical vocabulary of relevant industry.
• Familiarity with basic research methods and reporting techniques
• Ability to follow confidentiality guidelines
