Business Sales Transaction Coordinator
Healthcare Biz Brokers is a healthcare-based brokerage that is looking for an enthusiastic, energetic “transaction coordinator.” You will work closely with a licensed broker on a day-to-day basis and with time you will learn the brokerage’s ongoing and very dynamic businesses for sale inventory. We will provide training in our specific needs and our healthcare niche. We do not expect you to know what we do, since our business model is extremely unique. We believe in mentoring so if this is something that you are seeking, we can totally offer this to you. Our aim is in creating a long-term professional working relationship with you, not a short-term stint.
This is a work from home position since we currently do not have a physical call center in the Philippines. We are not a “talent manager” company – you will work with us directly.
Position Expectations:
(1) Monitor/Respond to CRM text threads
(2) Monitor/Respond to Buyer Leads that come in from a variety of third-party websites
(3) Read/Respond/Communicate to
(4) Appointment Scheduling (“Setter”) and Appointment Confirmations
(5) Monitor ALL marketing advertisements on third-party websites
(6) Update active inventory worksheet
(7) Manage/Update: Google calendar (“Daily Tasks”) and Google calendar (“Call Back Calendar”)
(8) A reliable Internet Connection
(9) A reliable smartphone with
(10) A reliable computer (preferably PC) including a web cam with speaker capabilities
(11) We do expect that you will read and understand this Ad – meaning that you will know which ad you are replying to us about, that you ask questions to clarify what is on this ad, and that you took the time to read and understand our needs.
(12) Understanding how to set-up and coordinate Zoo
(13) Understand how to manage a Business Sale Transaction (which we will teach you) to include:
a. Knowing the sequence for a successful transaction to take
b. Knowing how to explain to a client or customer what a successful transaction looks like
c. Knowing what documents to send out in a specific sequence (using DocuSign)
d. Knowing what documents, you need to follow up on in a specific sequence
e. Knowing how to break apart Adobe PDF documents, re-name them and upload them onto our transactions portal
f. Knowing the forms and understanding what “red-flags” to notify the broker about
(14) Understand how to conduct a successful due diligence (which we will teach you) to include:
a. Knowing how to search for and download information from public websites
b. Knowing what documents, we will need from our client to have ready for our customer
c. Knowing how to look at the due diligence for “red-flags” to notify the broker about
d. Understand how to create a Confidential Offering Memorandum with specific due diligence documents
e. Understanding how to normalize or recast financial documents (Profit Loss Statements) to help with the business valuation (will be highly supervised by the broker)
(15) Understanding how to coordinate a successful business escrow to include knowing what documents are escrow specific and the escrow time frames for such tasks as receiving earnest money and for publishing the sale with a third-party company chosen by the escrow.
(16) Understand how to implement and use Ring Central as a means to work with our team.
We know that the above list may be daunting or intimidating. We will provide training which depending on your learning style, your level of retention and your own eagerness to learn will vary. We will say that if you are eager to learn, we are eager to teach, but it will take a lot of dedication on your time. This dedication is something we can’t offer; it must be a drive that you have. This is one reason that we will be limiting this position to 1-2 candidates only. Once we have it filled, we will start the journey together.
Traits that we are looking for include:
(A) Ability to multi-task
(B) Must be detailed oriented
(C) Must be willing to read and learn all forms used by the brokerage
(D) Proficient in MS Suites, Google workspace platforms
(E) Ability to effectively communicate
(F) Ability to follow up to ALL client/customer needs within minutes of request
(G) Preferred: graduate with a medical based degree such as nursing or an allied healthcare degree.
(H) Preferred: professional experience as a VA interacting with both an employer-based team and employer-based clients/customers, for a minimum of 1 continuous calendar year.
(I) Honesty – we realize that you will be in the Philippines – and this point is very important – we are looking for someone to be honest with their time commitment. Our position will be based on both project-based tasks and daily tasks that need to be done regardless of what transaction is our pipeline.
(J) Tonality. We expect a VA with a professional and friendly on-line, text, phone presence. This is imperative since we are customer service driven.
(K) Fast Learner. If you are a fast learning, tech-savvy and quick to learn new technology, this will be a definite plus.
(L) Problem Solver. If you can work independently, make mindful decisions in a timely manner with maturity, this will be a
(M) Confidentiality. Our clients personal and business information requires you to have a high level of confidentiality and discretion.
(N) Coping Skills. If you can cope well with changes and create solutions as they develop, this will be a plus.
(O) If you are ambitious, engaging and a positive person who is a self-starter, flexible, and open minded with a positive attitude, this will be a plus.
(P) English proficient. We would expect you to have a strong grasp of the English language since you would be dealing with our team, our clients/customers and our third-party vendors. As part of the vetting process, we will be asking you to join us on a Zoo

SHIFT: Monday to Friday, 9:00 a.m. to 5:00 p.m., PST (California, USA)
BENEFITS: We will pay you $350 US Dollars per month and a 13th Month pay in December (after 12-months of working with us). After your probation period we will pay you a one-time payment of $200 US Dollars as a sign-on bonus.
LAST NOTES: We will not pay any type of payroll or salary advance at any time of the employment relationship (please don’t ask). We will do a 90-day probationary period with you to make sure that you are a good fit with us and vice versa. All applicants will be subject to a reference and background check. You will be interviewed by the broker and our RN Healthcare Consultant/Supervisor that works with our sister consulting company. We will be using a program such as Time Doctor or Time Proof. We will not be accepting candidates who have a full-time job and or are enrolled in school full-time.
