The Executive Assistant will provide high-level administrative support to the CEO and other senior staff of a US based tech startup.
Supervisory Responsibilities:
May recruit, interview, hire, train, and supervise staff in the organization.
Helps ensure that tasks and deadlines are met by the rest of the team, using tickets and task management tools.
Duties/Responsibilities:
Provides high-level administrative support and assistance to the Executive Director and/or other assigned leadership staff.
Performs clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents for senior staff.
Arranges travel and accommodations for executives.
Schedules and attends meetings on behalf of executives, taking notes and recording minutes.
Receives incoming communication or memos on behalf of senior staff, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff.
Performs office tasks including maintaining records, ordering supplies, and performing light bookkeeping and managing payables.
Performs additional duties as assigned by executives.
Supports the CEO directly as the go-to person for all needs, including daily administration, coordination, etc.

Provides administrative support including assisting with scheduling and arranging meeting details (including securing space, food ordering, and ensure all materials are onsite).
Makes administrative decisions and takes action in the client’s absence.
Conserves client’s time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; and initiating telecommunications.
Prepares meetings for appointments, coordinates schedules, and greet customers and clients prior to meetings.
Keeps, prepares, and distributes minutes of meetings as needed.
Required Skills/Abilities:
Excellent verbal and written communication skills.
Excellent organizational skills and attention to detail.
Excellent time management skills with a proven ability to meet deadlines.
Ability to function well in a high-paced and at times stressful environment.
Extensive knowledge of office administration, clerical procedures, and record keeping systems.
Able to type minimum of 50 words per minute.
Reliable computer and internet connection.
Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software.
Must be available during regular business hours, US pacific standard time.
Exemplary planning and time management skills.
Outstanding English verbal and written communications skills, as well as proofreading.
Proven experience in executive assistance, with ideas to help improve executive productivity.
Ability to interact with high profile clients and executives in a professional manner.
