WHO WE ARE
Are you our mate? We are an emerging and fun new allied health company in south-eastern Melbourne, Victoria (Australia). Currently, we’re providing speech and language therapy and assessments to people living with a disability. Most of our clients are funded by the National Disability Insurance Scheme (NDIS) and the majority (~95%) of clients are children, though a small portion are adults. With 4 speech pathologists at present (with a couple new to start within the next few weeks) and several administrative contractors, we are looking to expand and, by the start of the following year, have many more alied health professionals working with us including speech pathologists, ocupational therapists, social workers, and play/music therapists. Our aim is to provide high-quality therapy to people in need, but we can only do this with really supportive mates. That's where you come in!

ABOUT THE ROLE
This is an exciting full-time administrative assistant role, with a chance to work on stimulating projects, learn new skills, and be a part of a fantastic remote team so that you can work anywhere!

We are looking for a VA-Admin who is responsible to:
- Schedule appointments for new clients where availability allows
- Create a waiting list for future clients with as much information as possible
- Maintain professional communication for the organization: handing, drafting, sending, and receiving most of the office communications, phone calls, and emails
- Email clients with information about any changes or updates to the service, such as changes to work hours, promotion of school holiday programs, feedback, promotions, etc.
- Create an online form that new and existing clients can fill out. The questions for the form will be provided for you.
- Make databases of National Disability Insurance Scheme (NDIS) support coordinators and NDIS plan managers in the major Australian cities and regional centres
- Basic compettitor research (e.g., what are similar businesses offering in terms of group therapy? How are the group sessions structured? What is their program outline/schedule?)
- Basic market research (e.g., getting qoutes for resources such as laminating pockets, making a database/summary of communication apps for iPads, etc.)
- Format forms that are used in appointments, such as forms for initial assessments, case notes, induction, etc.
- Other general administrative duties that might arise within a small allied health company, plus potentially some other virtual administrative or personal tasks unrelated to this business (e.g., booking personal appointments via email)

WHO YOU ARE
At least 2 years experience as an admin assistant in a fast-paced industry
Previous experience as a receptionist/VA in a clinical/medical/allied health setting is preferrable but not required
Excellent business English skills, both written and verbal
Demonstrated ability to maintain client relationship
Extremely organized and has keen attention to details (highly important!)
Highly independent and can manage own time
Excellent problem-solving, reporting, and presentation skills
