About the role
The role is primarily to carry out routine course administration, such as managing and communicating with course participants.
Key responsibilities will include:
• Coordinate with the directors to finalize the schedule of weekly calls
• Arrange weekly cohort calls in Zoom and send calendar invites via Outlook to the participants
• Collect and update participants’ information and course status, ensure their correctness and send them to the instructors weekly
• Ensure course participants have access to the course materials and join the cohort group on the platform
• Prepare and publish the weekly call recording (MP3) and transcriptions (PPT) to the platform
• Post announcements for the participants (with reference template)
• Ensure the anonymity of the course project submitted and publish on the platform
• Ensure participants have submitted their course projects
• Update the CRM record of participants for deferrals
• Collect feedback & testimonials from the weekly call recording & LinkedIn posts of the participants
• Track and follow up on action items and due dates
• Maintain an organized filing system of electronic documents (Sharepoint)
• Uphold a strict level of confidentiality and security of information
• Some support with project tasks (limited, primarily as a backup for the Operations team if required.)
The essential requirements are:
• Excellent communication skills, especially written English
• Flexibility and responsiveness to deal with three busy Directors and respond quickly to requests
• Someone who can work well in a 100% remote team where regular and clear communication is essential
• Excellent MS Office skills (Word, Powerpoint, Excel, Sharepoint, OneDrive, etc.)
• Image and video editing skills are a big plus
The following skills would be useful but are not essential as they should be able to pick them up quickly:
• Basic data manipulation – Excel
• Format documents using Word and Powerpoint
• Knowledge of communication tools, e.g. Zoom,
• Some previous experience with CRM or
• Experience with corporate project management and documentation tools, e.g., Confluence and Jira
