Job Title: Executive Assistant
Location: Work from home
Pay Rate: $1,000 per month or higher depending on experience

We have four local office staff, three maintenance technicians, and eight remote staff based in the Philippines. We have detailed procedures and instructions to ensure our business processes are as clear as possible. We value teamwork, training, and support in order to ensure we succeed as a team.

Responsibilities / Job Description
Job Overview
- Work directly with business owner / CEO to serve as key organizer, coordinator, and implementer of business activities. Help to establish and implement processes. Help to train new tea ---------- mbers in these processes as company grows.
- Communications and coordination via email and phone call with customers, vendors, and tea ---------- mbers.

Property Information Management
- Track and organize information on properties owned in Google sheets including mortgage loan details, insurance, property taxes.
- Organize and file all property documentation.

Property Performance Review
- Review monthly operating statements. Identify any discrepancies for further review with bookkeeping team or operations team.

Account Management
- Track, manage, coordinate regarding property and business accounts: mortgage loans, insurance, credit cards, bank accounts.
- Review and file monthly account documentation received in virtual mail service or log into account online..
- Using information on business, properties, and accounts, help draft loan application forms for property and business loans.


Email
Management
- Review and process owner's email account. Filter items for actions, pending, archive, or delete.
- Respond to certain emails as per guidelines from business owner.
- Process, file or organize incoming property files or billing invoice documents.
- Help resolve bookkeeper inquiries - View business owner email and bank transaction information as needed.

Billing Management
- Input items into billing payable system for review and approval by business owner.
- Manage payment of items that are approved. Coordinate with bookkeeping as needed.

Project Support
- Tracking payments and costs for major property renovation projects
- Assist with purchasing of materials online. Planning, ordering, tracking, scheduling deliveries
- Track and request loan draws from lender as work is completed
- Organize and file project files

HR Administration
-Manage employee information in HR software, documentation, onboarding, PTO, etc.

Job Requirements:

Home office
- Setup - complete, well organized, and dedicated home office setup without outside noise or distraction
- Reliable - reliable power and internet required. Backup systems required.

Hours and Availability
- Working hours are 8:00am to 4:30pm central time, with 30 minute break.
- Full-time, minimum 40 hrs per week
- Be fully focused during work hours, do not work on other jobs, freelance work at all

Skills
- Detail Oriented and Organized - Must be detail oriented, good with numbers, tables, and organization of multiple tasks
- Communication - Must have good written and verbal communication skills. Must speak English fluently.
- Process Oriented - Must be able to follow detailed instructions and communicate if clarification is needed. If errors are made applicant must be able to determine root cause: identify if process needs improvement or what needs to be improved to be more successful in the future. We encourage your feedback to help us to continuously improve as a team.
- Quality Oriented - Must be capable of providing quality work and be comfortable with being held accountable if errors are made. Improve the process and work approach to improve.
- Problem Solver - Must be good at problem ---------- vestigate and research as needed to solve problems encountered. Propose solutions, do not simply pass problems back to manager. Having a positive and forward thinking approach to business and life is helpful here.
- Fast Learner - Should love to learn, explore, and challenge oneself in business environment.

Experience
- Solid relevant experience with and proven capability to succeed in this role.
- Well-rounded experience and capabilities are valuable in this role
- Experience in executive assistant role is preferred
