JOB OVERVIEW

Role: Administer various record keeping, documentation, and compiling duties across several functions:

Accounts payable: template (map) vendor bills/ invoices in a systems structured environment (Continia for Microsoft Dynamics Business Central 365; aka BC365); troubleshoot/ liaise with the business to resolve templating queries, and data issues to allow the documents to flow through the approval workflow
Customer service: as above, templating of customer purchase orders, to create sales orders
Shipping & customs: as above, templating of various commercial (eg vendor bills) and regulatory (customs certificates, registrations, etc) documents; tracking documents required vs documents received and requesting omissions
from counterparties)
Shipping & customs: monitoring an RPA bot (Robotic Process Automation) document recognition & processing, troubleshooting, exceptions management, etc
Customer delivery, proof of delivery (POD): monitor the document recognition & processing bot, receive PODs from carriers, visually inspect those initially processed by the bot for any exceptions (credit claims for short delivery, loss, etc), approve those for the bot to archive/ file; receive POD omission reports and deal with carriers/businesses to resolve
General: working with business users/ counterparties (education, training, support, reminding) to keep the paper flow moving, identifying structural issues & solutions

Essential experience:

BC365 desirable (Microsoft Dynamics)
Continia is highly desirable (but rare)
Bookkeeping knowledge
Document management/ archiving
“Compiler” duties within freight forwarding/ shipping, customs brokerage




Skills Required
Traits:

Experience/ aptitude: can’t afford the time to educate/ handhold someone
excessively as the existing roles doing this are hard to retain/ unstable
so there’s constant churn in these teams; plus need to build confidence in
the offshoring model
Attention to detail/ curiosity
Persistence: business people & counterparties are not necessarily
responsive
Problem-solving
