JOB OVERVIEW

Report to Sales Manager and Operations Manager, acting as the point of contact for gig worker support as needed and assist in pre-event planning and post-event reporting. We're looking to bring on two Virtual Assistant in the proposed roles outlined ---------- pending on applicant skill set and availability, we may redistribute the tasks between the positions if needed. We're primarily looking for someone who is a good fit skill and culture wise and is open to growing in their role with our company, as we've seen tremendous growth over the past 9 months and only plan on growing that! We are looking for ongoing and consistent administrative support across a variety of tasks, eventually growing into a management role.

Position 1: Brand Ambassador Event Support Coordinator

Schedule-
Saturdays 7:00 AM to 1:00 PM PHT (Friday: 4pm PDT to 10pm PDT)
Sundays 12:00 AM to 8:00 AM PHT (Saturday: 9 am PDT to 5pm PDT)
Mondays 12:00 AM to 8:00 AM PHT (Sunday: 9 am PDT to 5pm PDT)
Tuesdays/Fridays 12:00 AM to 8:00 AM PHT (Monday: 9 am PDT to 5pm PDT)

Gig Worker Event Support-
Go through a list of events to ensure all scheduled gig workers have texted their check-in photo showing their display/setup is up to ---------- municates vi text and phone call (if needed) with scheduled gig workers on any issues they may have on-site (substituting brand being promoted if insufficient inventory at the store level)
Go through check-in list following the event end time to ensure that the scheduled gig worker has submitted their post-event report.

Post-Event Reports-
Go through post-event reports following events to ensure information is accurate and all entries are up to standard (photos, feedback, accurate inventory count sections)
Approving reports and returning those that are not up to standard
Following up with gig workers on reports that need edits and re-submission

Position 2: Pre-Event Support Coordinator:

Pre-Event Coordinator assists in tasks leading up to event execution including requesting and scheduling events as well as onboarding new workers into our payroll/HR systems.

SCHEDULE: flexible hours, TBD.

Event Requests (Data entry):
Submitting event requests via appropriate retailers's portals
Once requests are approved, assisting in data entry to our scheduling platform (date, time, location, brand represented, event instructions)

Worker Onboarding:
Entering new hires' information into payroll Paychex system once new worker is booked on gig
First/Last Name
Email
Zipcode
Phone Number
Paychex Support
Confirming new hires account data once they complete their Paychex account (pay rate, tax info, etc)

Onboarding Task Follow Up
Send out daily updates to Ashleigh and myself on who has completed the onboarding process through EMP Force HR system
Following up with workers who have not completed onboarding tasks to get theirs completed and assist as needed

Miscellaneous Tasks:
Enter Events into Trusted Herd platform for recruiting (1-2 hours per week)
Approve submitted reports and keep notes on important details (ongoing)
Send weekly reports outlining the gig workers who excelled or underperformed
Sending emails/texts about overdue reports
Sending emails/texts about incomplete Paychex profiles
Various administrative tasks, changing in a high growth environment.
