JOB OVERVIEW

Position Overview
The Project Coordinator Assistant provides support to the Main Project Manager/Coordinator by coordinating project activities related to all projects. The position’s main duties are to ensure the continuity and efficiency of each project from start to finish through clear communication to all parties involved. The Project Coordinator Assistant handles multiple projects within a fast-paced environment and is open to constant changes and challenges. The ideal candidate will be highly organized and able to manage multiple projects at once in the absence of day-to-day guidance.

Job Duties

• Liaising with project stakeholders concerning project details and deliverables
• Tracking and reporting project progress
• Conducting administrative duties, such as scheduling meetings, recording meeting notes and sharing of reports and documents
• Ensuring project teaUpgrade to see actual infombers comply with company methodologies and project principles
• Ensuring changes in project plan are communicated to teaUpgrade to see actual infombers
• Carrying out quality reviews and checks to ensure project operations are in line with project requirements
• Researching information as required
• Assisting the main Project Manager/Coordinator in managing the project team, including task delegation and work schedule
• Filling in for project managers by managing daily operations in their absence
• Build and maintain good working relationships with clients to ensure complete customer satisfaction and good prospects for future business
• Ensuring all project documentation and reports are accurate and uploaded or saved into the appropriate locations
• Ensuring work authorization is obtained from client as needed
• Addressing questions and concerns throughout the project
• Performing tasks required by the Project Coordinator in support of project needs
• Being aware of all aspects of the scopes of work so proper assistance to the Project Manager/Coordinator can be provided
• Reporting to the Project Manager/Coordinator for all issues in a timely manner


Qualifications and Requirements
• Previous experience in project management or in an administrative assistant role is an advantage
• Integrity, honesty and responsibility with a desire to contribute to a team
• Ability to work within a team or independently as needed
• Strong written and verbal communication skills
• Proven ability to multi-task in a fast-paced environment
• Can work efficiently under time constraints to meet specific deadlines
• Can build effective deadlines for oneself and follow them in order to keep the project(s) on time
• Highly organized with attention to details
• Confident and unafraid to address needs or problems to others
• Intermediate computer experience with Microsoft Office programs such as Excel, Word, PowerPoint and Google Suite
• Knowledgeable in any project/task management software
• Able to adapt effectively to manage the many unknowns that accompany any project
• Can manage stress levels well when goal changes, blockages or missing links in the activities occur
• Able to respect decision-making boundaries and know when to call the attention of managers
