Hi!! This is Esther!! PHD Ventures is founded by New York Times Best-Selling Author Peter H. Diamandis, MD, and is the holding company for developing new initiatives and problem-solving across 7 key exponential tech ventures.
We are looking for a Professional Executive Assistant who accepts pressure and has the ability to switch from one item to the next as priorities change. Interruptions and being able to juggle workload are important qualities for the person filling this role. The only constant will be change; the work atmosphere being less predictable and more susceptible to urgent last minute changes in activities. You are team driven, accommodating and helpful to others, take instructions well and execute with a sense of urgency. Understanding the importance of and working within established policies and procedures combined with a high attention to detail will ensure you deliver the high quality outputs required by this position.
You need to be analytical, heads down and introspective, with the ability to work on multiple projects simultaneously all the while figuring things out for yourself. The position has limited social interaction, with the majority focus of the position being task based. Communication will consist of analytical exchanges within a structured environment where conformity to rules, regulations, structure and established ways of performing work are important. The position is best served by an individual who is wired for "specialist" decisions where how the result is generated is as important as the results itself.

- Able to work during 8:30 am - 5:30 pm or 9 am - 6 pm PST, Monday to Friday
- Someone who has a minimum internet speed of at least 20mbps.
Job Description:
* Sort and clean up Outlook Contacts (Combine duplicates, Verify information, Add photo)
* Adding new Contacts
* Schedule meetings and personal appointments (ie: haircuts, massages, dental, medical)
* Make reservations
* Manage all
* Research podcast, interview opportunities, and any requests that come through
* Maintain client's manual (Personal details, Credit cards, logins, dietary, etc)
* Expense Reports
* Manage Health Insurance
* Travel booking
* Scheduling AD webinars and keeping track of the monthly schedule
* Tracking team hours on other non-PHD Ventures projects for company reimbursement
* Research and Notetaking
* Track and follow up items
Note: Knowledge in Google Workspace, Outlook, Slack, Zoom, and Microsoft Office is a plus
