Bookkeeping and Finance Virtual Assistant
JOB DESCRIPTION


Remuneration:
Salary: PHP 22,500 per month, rising to 30,000PHP per month after 3-month probation.
Bonuses: 13th month bonus on December 20th each year.
Extras: Health insurance paid to the value of £15 pcm, following successful probationary period.
Paid personal leave allowance: 2.5 days accrued for every month worked (30 days annually), which can be used to cover sickness, personal leave, or national holidays, following successful probationary period.
Working hours: 30 hours. Precise working hours can be flexible if there is some cross over with UK working hours. Working hours must be pre-agreed in advance.

Salary Review: Annually.
Reporting to: Your contract managers will be Louisa Trunks, Mike Dewar and Jhoana Madamba, who will determine workload and responsibilities, conduct contract reviews and monitor KPI performance. Day to Day tasks and Issues will be supervised by Jhoana Madamba.
Main purpose: To support the Greenway Property Group, (and all associated companies including Fairway Property and Fairway Property Management) to provide first class homes and accommodation for tenants and guests by providing accurate bookkeeping and financial administrative support.

Key responsibilities and tasks:

Bank Reconciliation

Process Accounts Payable and Accounts Receivable

Assist with Arthur Online Remittances


Daily tasks
1. Reconcile xero and AO
2. Upload receipts/invoices into xero
3. Chase invoice paperwork,
4. Complete a daily report covering:
? What did you do today?
? What problems did you run into today?
? What can we do to make your job easier?



As required

1. Research
2. Finding apps for the business.
3. Filing emails, saving all relevant documents to the One Drive
4. Refine the filing system in the One Drive
5. Create projects and manage tasks via Asana task manager
6. Renewing subscriptions and creating/maintaining a record of subscriptions
7. Renewing and managing Insurance policies – Business/Landlord/Building
8. Liaise with and answer Accountant on ad hoc queries
9. Create and implement methods (checklists) to ensure all jobs administration wise have been fulfilled. (e.g., key signing in and out sheet)
10. Liaise with Brokers/solicitors and provide key information as required.
11. Other tasks as needed; this job description is subject to change.


Key Performance Indicators (Additional monthly targets will be set from Month 2, FVA will also feed into wider team goals and KPIs)

1. All tasks completed within specified timeframes.
2. No upheld supplier/co-worker complaints.
3. All reports delivered on time.
4. All records maintained accurately.
5. All deadlines met and reported.

PERSON SPECIFICATION

Essential

Experience of bookkeeping for a UK company
Experience of preparing management reports
Excellent communication skills, fluent written and spoken English
Competent with Microsoft Office
Competent in xero
Good attention to detail and high level of accuracy
Excellent time management skills
Motivated, autonomous, and positive outlook
Experience of using technology to set up and manage systems
Experience as a Virtual Assistant
Ability to learn new tasks quickly


Desirable skills
Experience of lettings and property management
Experience of Arthur Online or other property management software
