HR Coordinator / Human Resources Coordinator

MageMontreal, is an eCommerce agency specializing in the Adobe Magento eCommerce platform. We build and support eCommerce websites built exclusively on the Magento eCommerce platform.

We are a small and fast-growing company: the tasks are very varied, the challenges stimulating, and there are numerous possibilities of getting involved in several new projects throughout the year.

The HR Coordinator will report to the HR Director and will help in a wide and varied range of tasks: from recruitment of employees, recruitment and upkeeping of the "roster bench" of tested and ready-to-go freelancers, finding guests and upkeeping our podcast guest schedule, along with many other tasks, administrative duties and "special internal projects" to keep the office running smoothly.

The ideal candidate demonstrates the following qualities:
Excellent communication skills: near-native written and spoken English is a must.
A sense of professionalism, resourcefulness, a desire to learn, an ability to create connections, emotional intelligence and a good sense of organization.

We are a company in web technology: being very comfortable with your computer and the Office suite is a prerequisite for employment.

Your main task will be recruiting new employees and keeping at all times a directory of pre-qualified freelancers who are tested and ready for hire. Also, you will organize the Company's internal (virtual) events, such as "lunch & learn" for continuous employee learning, continuous development and certification study plans for employees, the monthly team games evening, ---------- addition, we will improve the process of onboarding and training new employees and will prepare quizzes to ensure that the content of the training videos for new employees has been learned.

You will also recruit and schedule the guest of the week for our "podcast". (They are mainly CEOs / presidents of companies) who will be interviewed by the president of MageMontreal. The podcast episode of the week is then published on all social media, on iTune, Spotify, Google Play, Audible, Amazon Music, etc.


Workdays: Monday to Friday.
Working hours: Our Company's hours are 9 am to 5 pm EST time. Considering the time zone difference, we are open to some flexibility on the work hours.
You can do your work at any time during the day, but you must be available for communications from 9 am to 2 pm EST. (2-3 am Philippine time). This employment is best suited for someone who is already used to working late hours, likely for an international company.

The selection process is done via email/live chat, then a videoconference interview.


SKILLS:
- Great ability to communicate verbally and in writing. Near-native English skill level.

RESPONSIBILITIES:
1) Recruitment of employees or freelancers:
- Assist in recruitment and hiring.
- Writing and publishing job offers.
- Direct solicitations of candidates on Linkedin and other hiring platforms.
- Filter applicants and communicate with the selected candidates.
- Schedule the appointments and make the first interviews selection round.
- Sending technical screening tests to candidates
- Verification of references from candidates.
- Make solid candidate recommendations to the various department managers.
- For the shortlisted candidates, conduct a joint interview with the department's manager.
- Create the various new employee accounts, company emails, etc.
- Assist in the integration of employees
- Maintain the potential candidate filing system.
- Work on special human resources projects

2) Recruitment of special guests (i.e. corporate CEO), for our podcast: ----------
- Outbound: Finding potential guests and sending invitations
- Inbound: Filter potential guests requesting to be on our podcast and communicate with them.
- Upkeep the pipeline of potential podcast guests well organized in our software
- Keep guests' calendar up to date



3) Planning and implementation of continuing education:
- Planning of employee continuous learning activities (lunch & Learn, employee certification program,etc.).
- Follow up with all employees to ensure that the training does happen.
- Helping us improve our LMS (Learning Management System), where all training videos and quizzes are stored.
- Creating test quizzes for the existing employee training videos.


4) To fill daily, the reporting regarding all the above activities in a global Dashboard, which is reviewed by our CEO.

REQUIREMENTS and SKILLS:
Holds a post-secondary degree in Human Resources, Business Administration/Management or a related field, combined with two (2) years of experience in a Generalist position in Human Resources
Mastery of the Office suite and ease of use of new computer systems
· Knowledge of computer science and technology in general
· Experience and skills with ---------- and Facebook
· Knowledge and mastery of the different job offer platforms
Experience in handling confidential or sensitive information
Team spirit

To complete the projects within the deadline.
Ease of adaptation, effectively manage changes in priorities.
