I have a young Serviced accommodation business which I want to grow, but I'm getting exhausted by the administration.
I need some help!
I would really like assistance from someone with plenty of experience of managing holiday rentals (We call it Serviced Accommodation in the UK), and if that is you - perhaps you can help me with suggestions of systems and good practices!
We only launched in June 2021, but we have 5* reviews on Airbnb, achieving Super-host status within a very short-time since launch. Also have great reviews on booking.com.
I really care about customer service and I am looking for someone who can help to make customers feel valued and feel cared-for.
We are in process of acquiring a 3rd property and I really need to get everything 'systemised', so I need a good administrator - someone who can manage guest relationships; message guests before their stay - thanking them for their booking, answering any questions, obtaining guest ID and booking forms / accepting terms and conditions, messaging prior to stay with parking and check-in details, checking the guest is happy after their arrival, asking for guest feedback, responding to any issues - but really - doing everything possible to prevent need for complaints.
Making sure the accommodation is well-presented - Organising cleaning schedule and ensuring cleaner is booked (and confirmed so there are no mix-ups!), also ensuring that linen services are dealt with promptly, cleaning materials / hospitality items are stocked. etc etc.
I am also struggling with the general admin and paperwork. I could really use help to organise invoices and receipts / book-keeping. I am unsure if we will be using an accounting software - currently I use spreadsheets, but we may need to switch to Quickbooks or Xero.
I am not great at tech - but perhaps it would be good to use something like Google Workspace. I am open to ideas to help people to collaborate in future - for example, for cleaner to upload images or reports of supplies needed, or for maintenance to report on jobs, to schedule inspections and safety reports and to monitor compliance etc.
Also, I would love to find someone who is great at social media / lead-generation. Our properties are busy at present, but as we add more properties and have more rooms available, we want to obtain direct bookings - perhaps from reaching out to local businesses and offering local accommodation for staff visitors / trainees etc.
I am not good at social media - so could really use ideas and support with that.
Also on my wish list would be help with searching for suitable properties - looking for properties at good prices and help to assess the potential returns on investment. If you have any experience with this - please let me know!
Of course, we are starting out quite small... and I have never employed a VA before - I don't know how many hours would be needed each week, so I just said 'Freelance' at the moment, because everything is uncertain for me right now on how this might work - but this could be part-time as we learn together, and perhaps even full-time as the business grows - if that suits the right assistant too.
I don't tolerate laziness or low standards or people who expect returns for little effort, but I respect people and I highly value people who are honest and hard-working. I need someone who can bear with me through teething problems, who can celebrate with me as things go well,
I need someone who can use their initiative and suggest solutions, but especially - to be honest if there are problems, so that I am kept informed, and so that things can be addressed before they become serious issues.
I hope for a very happy and long-term relationship with someone who can help the business to grow, so that both your family and my family can benefit from the success as we learn and grow together.
